The Facilities Administrator supports the Remitly premises and site needs in the Philippines, inclusive of security of premises, maintenance, business continuity and administrative services to the agreed organizational standards. Working under the direction of the APAC Anchor Lead and in close partnership with the site Facilities Coordinator, the Facilities Administrator owns the day-to-day administrative and coordination workload that keeps the office running, and serves as a first point of contact for employees on facilities matters.

Job Responsibilities

Service requests - Serve as first point of contact for facilities/workplace matters, managing tickets and inquiries in Remitly's ticketing tool (e.g. JIRA) against a prioritised task list; report on work status and open requests, escalating complex issues.

Site condition and maintenance - Conduct regular site walkthroughs against established standards, and coordinate equipment and facilities repairs with third-party contractors through to completion.

Vendor coordination - Liaise with vendors and service providers for day-to-day office needs, including janitorial, food, transportation, security and building management.

Supplies and Inventory - Maintain inventory and audit of facilities supplies and equipment, raising sourcing and procurement requests as needed.

Access, security and safety - Administer facility access, Company ID issuance and security system monitoring; support site compliance with OSH, DOLE and Republic Act 11058 standards, including health and safety, fire warden and First Aid record keeping; escalate incidents and gaps.

Business Continuity and Projects Support - Support BCP events, small-scale site projects such as office moves and equipment upgrades, and process improvements in day-to-day operations.

Employee and visitor support - Support new hire onboarding; assist visiting employees with transportation, access, seating and meeting space; support HR-led engagement events.

Administration and records - Administer meeting room calendar access, monitor compliance with facilities policies and house rules, safeguard confidential vendor and employee information, and perform day-to-day administrative tasks, record keeping and data entry.

Job Qualifications

  • 1 or more years of experience in facilities administration, office operations or a similar support role.
  • -
  • Bachelor's degree preferred; equivalent work experience will be considered. Facilities management certifications are an advantage.

  • Working knowledge of office and facility systems (e.g. Security, Janitorial, Food Concessionaire, Transportation, Technical Maintenance, and Life Saving Safety systems)
  • -
  • Experience coordinating third-party vendors and contractors to an agreed scope and timeframe.
  • -
  • Exposure to small-scale facilities projects such as office moves, seating changes or equipment upgrades.
  • -
  • Proficiency in Google Suite is required; familiarity with ticketing systems (e.g. JIRA) and experience using Claude, as well as basic expense tracking is advantageous.

  • Strong ability to prioritize and manage conflicting priorities against deadlines.
  • -
  • Good risk control and sound judgement on solving facility related concerns, including knowing when to escalate.

  • Average English language skills, verbal and written, required.
  • -
  • Enthusiast, collaborative, helpful and service-oriented, with capacity to interact with a wide range of staff, vendors and visitors.

  • High attention to detail and accuracy in scheduling, documentation, record keeping and reporting.

  • Discretion in organising and handling time-sensitive and confidential information.
