Position Overview
The HR and Administration role is responsible for supporting the effective delivery of human resources operations and administrative functions within the organization. The position oversees employee records management, recruitment, onboarding, employee relations, performance management, and HR reporting while ensuring compliance with company policies and procedures.
The role also provides administrative and operational support to management, coordinates with internal departments and external partners, and contributes to HR projects and initiatives. It requires strong organizational, analytical, communication, and relationship-building skills, with the ability to work efficiently in a fast-paced, global environment.
Responsibilities

Organise and maintain Employee records including conducting File Audits and Gap Analysis.

Review policies and procedures and update where changes require.

Support in drafting employee handbooks and updating based on Client instructions.

Update internal databases (e.g. record sick holiday or maternity leave) and upload employee files.

Liaise with Hiring Managers to write and devise job specifications, filter and shortlist candidates, conduct first stage interviews and manage the full recruitment life cycle up to Junior Management level.

Prepare HR documents, including contracts of employment and New Start Offer packs, Training Agreements, Promotion Letters.

Manage and Co-ordinate New Start On-Boarding and Induction programme.

Manage and Co-ordinate Leaver processes and work flow.

Liaise with external partners, such as Drug & Alcohol or Occupational Health Testing Partners.

Create regular reports and presentations on HR metrics (e.g. employee turnover rates).

Assist payroll department by providing relevant employee information (e.g. leaves of absence, sick days and work schedules).

Manage Reference, Right to Work, Criminal Record and other relevant checks.

Support Employees by providing template letters for mortgage applications, visa applications and Jury Service Duty Exemptions.

Co-ordinate, diarise and issue End of Probation reviews and Annual appraisals.

Support on minute taking at employee meetings such as disciplinary and performance management hearings.

Participate in HR projects (e.g. help organize a job fair event, salary benchmarking, benefits).

Project the company image/brand to clients via various media.

Proficient in all Microsoft Office Suite applications including Excel and PowerPoint.

Develop good relations with all team members, departments and stakeholders.

General PA duties such as booking travel, invoicing, expenses management, collating information for company accountant, website and social media management, sales support such as preparing quotes and proposals and following up referrals.
Qualifications

Microsoft Office Suite Proficiency and strong Excel skills.

Analytical and methodical.

The ability to work with Senior and Executive Management and deliver efficient and accurate information.

Superlative people and relationship-building skills.

Able to perform well in a pressurised and fast-paced environment.

Superb written and spoken English at corporate level.
Nice to have Skills
Has qualified to CIPD Associate Member level or is willing to work towards the qualification
Experience within a Group HR Advisory role in a group and global organisation
Exposure to supporting HR processes with Overseas teams

Benefits, Compensation and Work Setup
