About The Role

About the Role

This position combines administrative excellence with hands-on support for rehabilitation and therapy services. You will work closely with Centre leadership, therapists, staff, volunteers, vendors, and external agencies to ensure smooth operations while supporting meaningful client outcomes.

Key Responsibilities

Administrative & Operations Support

  • Provide comprehensive secretarial and administrative support to Centre leadership.
  • Coordinate reports, invoices, purchase orders, claims submissions, and compliance documentation.
  • Liaise with government agencies, vendors, and external stakeholders on operational and regulatory matters.
  • Maintain accurate records, filing systems, and audit-ready documentation.
  • Support finance, reporting, procurement, and operational processes.
  • Develop and maintain SOPs, guides, and reference materials to support staff operations.
  • Coordinate maintenance schedules, vendor servicing, and administrative follow-ups.
  • Ensure timely staff onboarding, offboarding, and system access administration.

Systems & Volunteer Administration

  • Manage and maintain operational systems such as ILTC, ELDC, NEHR, SMF, VPRMS, and other relevant platforms.
  • Maintain staff records, training records, authorisation documentation, and manpower updates.
  • Support volunteer administration, documentation, onboarding, and coordination.
  • Monitor system updates and ensure smooth operational continuity.

Therapy & Client Support

  • Assist therapists in implementing therapy and intervention programmes.
  • Support client assessments and rehabilitation activities.
  • Monitor and document clients' attendance, progress notes, and vital signs.
  • Observe and report changes in clients' condition and well-being.
  • Escalate incidents and concerns in accordance with established protocols.
  • Maintain positive client engagement and provide excellent customer service.

Safety, Compliance & Quality

  • Adhere to MOH service standards, clinical protocols, and organisational procedures.
  • Ensure the cleanliness, hygiene, and safety of rehabilitation areas.
  • Assist in the upkeep and maintenance of equipment and resources.
  • Support continuous improvement initiatives and operational excellence.

Requirements

  • Diploma or relevant qualification in Business Administration, Healthcare Administration, Community Care, Allied Health, or related disciplines.
  • Experience in administrative, healthcare, community care, or eldercare settings is an advantage.
  • Strong organisational and multitasking skills with attention to detail.
  • Good interpersonal and communication skills.
  • Comfortable working with digital systems and databases.
  • Team player with a positive, proactive, and solutions-oriented mindset.
  • Passion for serving seniors and supporting community care services.
