About The Role
FAMILY OFFICE ADMINISTRATOR Oversee and administer Personal Management Trusts (“PMTs”), Administrative Agency Accounts (“AAAs”) , and other family office accounts(“Family Office Accounts”), ensuring compliance with applicable provisions and the proper execution of client instructions and trust dispositive provisions, as well as partnering with Wealth Planning Counsels in efficiently facilitating the conversion of referrals into successfully onboarding of PMTs and AAAs through the preparation and review of account and transaction documentation, coordination of complex client requirements, and management of key stakeholder relationships to ensure timely, accurate, and high-quality delivery of services across the account lifecycle. KEY RESPONSIBILITIES: Assists in reviewing proposed dispositive provisions, structures, products, administrative agency services, and related arrangements to help ensure that proposed services are operationally sound, implementable, and aligned with approved documentation and internal procedures. Prepares, completes, maintains, and tracks trust agreements, administrative agency agreements, onboarding documents, and other wealth planning documentation to support timely execution, release, onboarding, and proper recordkeeping of Family Office Accounts. Monitors and implements client services, instructions, dispositive provisions, and account-related transactions for Family Office Accounts to ensure timely, accurate, and efficient service delivery in accordance with applicable agreements, policies, and procedures. Coordinates administrative, documentary, and operational requirements for Family Office engagements in a responsive and well-organized manner. Identifies service delivery gaps, resolves account-related issues, conducts necessary research, and supports special projects or administrative requirements to strengthen execution, improve responsiveness, and support the business objectives of Wealth Planning and Family Office. KEY QUALIFICATIONS: Able to steer the team and work well under pressure, consistent, dependable are also necessary attributes to be able to troubleshoot and resolve issues encountered on the ground. Strong writing, research, and communication skills with attention to details Knowledge in Trust Business and Family Office Handling Trust Accounts and fieldwork with local government agencies
