Purpose of the Role

BGIS is looking for a Vendor and Worker Compliance Administrator to support vendor onboarding, compliance, and administration across a long standing government portfolio delivering essential community services throughout New South Wales. Reporting to the CSI Business Partner & Sustainability Manager, you will work closely with vendors, client representatives, and BGIS colleagues to bring new vendors on board, maintain compliance records, and support day-to-day operational activities.

Key Responsibilities

  • Support vendor onboarding, engagement, and compliance activities across the portfolio.
  • Maintain accurate vendor, worker, and compliance records, ensuring data integrity and currency.
  • Assist with maintaining the CMMS system, capturing preventative and reactive work orders, work order data, and asset data.
  • Support the allocation, delegation, and collation of work orders to help meet contract requirements and KPIs.
  • Assist with document control and compliance with relevant laws, regulations, codes, and standards.
  • Support the preparation of regular and ad hoc reports, meeting agendas, and minutes.
  • Maintain and update the Purchase Order Register and assist with accounts activities as required.
  • Support WHS and environmental systems, including hazard and incident reporting.
  • Build positive working relationships with vendors, subcontractors, suppliers, client representatives, and colleagues.
  • Participate in team meetings and contribute to a collaborative and supportive working environment.

Education, Experience & Skills

Essential

  • Demonstrated experience in an administrative, compliance, or vendor coordination role.
  • High level of data entry accuracy and genuine attention to detail.
  • Experience managing multiple tasks and priorities in a busy environment.
  • Warm and confident communication skills, both written and verbal.
  • Professional presentation and the ability to build rapport across a large and varied team.
  • Proficiency in Microsoft Office applications including Word, Excel, and Outlook.
  • Comfortable adapting to change and taking a flexible approach to problem-solving.
  • High School Certificate or equivalent.

Desirable

  • Experience within property, corporate real estate, facilities management, or an operational environment.
  • Experience using CMMS platforms such as Archibus.
  • Experience working within QA, WHS, and environmental systems.
  • A willingness to build knowledge of building services and general building maintenance.
  • Additional tertiary qualifications.

This is a full-time, permanent position based on-site at the client's Parramatta justice precinct office, conveniently located close to public transport, cafรฉs, and local amenities.
