Maintenance Systems & Data Administration

  • Serve as system administrator for the maintenance software and KPI tracking.
  • Monitor data integrity by ensuring technicians properly log labor hours, fault codes, parts usage, and repair notes.
  • Build, maintain, and distribute data dashboards and performance reports for executive leadership.
  1. Reliability and Failure Analysis
  • Track fleet asset data to show recurring mechanical failures and premature component wear.
  • Conduct failure analysis on repeating maintenance issues and implement systemic fixes across the fleet.
  • Test and evaluate new parts, lubricants, or technologies to extend asset life and improve fuel efficiency or safety.
  • PM Program & Process Standardization
  • Establish and continuously refine the scope, checklist items, and intervals for all Preventative Maintenance schedules.
  • Work with DOM to write and implement SOPs for diagnostics and repairs to ensure uniform quality across all shifts, locations and service trucks.
  • Align PM schedules with operations to maximize equipment utilization and schedule maintenance windows proactively
  1. Vendor Management & Strategic Sourcing
  • Evaluate national account vendors, parts suppliers, and third-party repair shops on pricing compliance, turnaround times, and quality.
  • Collaborate with the parts department to establish optimal stocking levels based on predictive maintenance modeling.
  • Co-Manage the fleet warranty recovery process, ensuring all eligible claims are tracked and filed with manufacturers for maximum reimbursement.
  1. Workforce Technical Development
  • Identify technical skill gaps on the maintenance team through performance and repair data analysis.
  • Design and coordinate ongoing technical training programs, equipment certifications, and safety modules for the shop foreman and technicians.
  • Prepare the technical workforce for incoming asset technologies, such as advanced electrical architectures or alternative-fuel systems.

Target Metrics & Key Performance Indicators (KPIs) Such As

  • PM Compliance Rate: Achieving a ≥ 95% on-time completion rate for scheduled PM intervals.
  • Maintenance Cost: Maintaining total maintenance spend within corporate budgetary benchmarks.
  • Warranty Recovery Dollar Value: Meeting or exceeding annual targets for warranty reimbursements.
  • Unplanned vs. Planned Work Ratio: Shifting shop labor hours away from emergency reactive repairs toward proactive, scheduled maintenance.
