Purpose of the Role BGIS is seeking a motivated Contracts Administrator to support a nationally recognised portfolio of hospitality, food, beverage, and entertainment venues. Reporting directly to the Account Manager, you will work collaboratively with both client and BGIS teams to manage vendor compliance, contract administration, commercial documentation, and day-to-day operational processes. This role is well suited to someone who enjoys staying organised, working through a high volume of tasks, and being surrounded by a busy and collaborative team. You'll have the opportunity to develop your skills, build commercial knowledge, and gain exposure to a large national account while working alongside experienced professionals who can support your growth. The ideal candidate will be proactive, detail-focused, eager to learn, and comfortable working both independently and as part of a team. Key Responsibilities Act as a key point of contact for vendors and contractors regarding compliance and contract requirements. Manage vendor onboarding processes, including safety and compliance documentation. Support contract administration activities including variations, commercial registers, and documentation management. Track and manage high-value corrective works and reimbursable activities. Process purchase orders, invoices, and associated financial documentation. Assist with the management and maintenance of CMMS records and work order tracking. Monitor vendor compliance with BGIS safety, quality, and environmental requirements. Maintain accurate records, reports, and contract documentation. Support the Account Manager with day-to-day contract administration activities. Assist with continuous improvement initiatives and process enhancements. Education, Experience & Skills Essential: Previous experience in contract administration, vendor administration, compliance coordination, or a similar administrative role. Strong organisational and time management skills. Ability to manage a busy workload and competing priorities. Strong attention to detail and accuracy. Excellent written and verbal communication skills. Proficiency in Microsoft Office including Excel, Word, and Outlook. Experience using business systems, databases, or CMMS platforms. Ability to work autonomously and proactively manage tasks. Desirable: Experience within facilities management, hospitality, retail, property, construction, or service-based environments. Experience processing invoices, purchase orders, and financial documentation. Exposure to vendor management, contractor compliance, or safety systems. Qualifications in Business, Administration, Management, or a related discipline. Training in OH&S, Quality Assurance, or Environmental systems. Workplace Flexibility To support your growth, this position will initially be based from our Sydney CBD office , conveniently located close to public transport, cafรฉs, and local amenities. Following onboarding, this role offers a hybrid working arrangement of 3 days in the office and 2 days working from home , operating during standard business hours Monday to Friday. Why Join BGIS?
