The Opportunity

You will play a crucial role in creating a professional front-of-house experience and coordinate the smooth day-to-day running of our Surry Hills workplace.

As the central contact for office operations, you will support employees, visitors, suppliers and contractors while helping maintain a safe, clean and productive environment. You will also contribute to internal events, team workshops and executive-led programs that bring our workplace culture to life.

This role reports to the Facilities Soft Services Manager. Due to the hands-on nature of the position, it is primarily based in our Surry Hills offices 5 days per week.

What will you do?

  • Own the reception and front-of-house experience, welcoming visitors and maintaining a professional, organised reception area.
  • Coordinate day-to-day office operations across Surry Hills and support other Blackmores locations when required.
  • Register visitors, manage sign-in and sign-out processes, and assist with security passes, building fobs and access audits.
  • Prepare meeting rooms and support facility-related requests, car parking allocations, courier deliveries and workplace amenities.
  • Coordinate stationery, kitchen supplies, waste management and general workplace presentation.
  • Support internal engagement events, team workshops, catering logistics and executive-led programs.
  • Liaise confidently with employees, senior leaders, suppliers, couriers, cleaners and other contractors.
  • Manage contractor inductions and compliance, oversee cleaning services and conduct workplace inspections.
  • Provide general administrative support to Surry Hills teams and assist Executive Assistants and Coordinators when needed.
  • Onboard new employees to office etiquette and identify opportunities to improve workplace processes and systems.
  • Support workplace health and safety by following procedures and reporting hazards, incidents or injuries.

Who are you?

  • Experienced in office coordination, reception, administration, customer service or facilities support.
  • Confident working autonomously while contributing positively within a broader team.
  • Highly organised , detail-oriented and comfortable managing multiple priorities in a busy office environment.
  • A clear and professional communicator with an excellent phone manner and strong stakeholder management skills.
  • Comfortable liaising with people at all levels, from visitors and suppliers through to senior leadership.
  • Proficient in Microsoft Office, including Teams, Outlook, Word, Excel and PowerPoint.
  • Proactive and solutions-focused, with the confidence to address practical workplace issues before they escalate.
  • Collaborative, dependable and committed to creating a welcoming, safe and inclusive office environment.
  • Experience in a facilities management environment is highly regarded.
