Responsibilities

  • Coordinate with supporting vendor partners, client event set up and clean up
  • Manage vendor relationships and service contracts, ensuring quality delivery, compliance with specifications, and cost-effective procurement of facilities services
  • Respond to user service requests and facility issues promptly, coordinating with appropriate teams to resolve problems and maintain high satisfaction levels
  • Conduct regular building inspections and maintain detailed records and documentation
  • Assist with emergency response procedures and coordinate with security, fire safety, and building management teams during critical incidents
  • Maintain inventory management systems for all emergency supplies, while ensuring cost optimization and availability for operational needs
  • Lead donatiion programs for emergency suppplies past expiry dates
  • Prepare reports and documentation for facility manager as requested
  • Collaborate with sustainability initiatives including energy management programs, waste reduction efforts, and green building certification maintenance

Required qualifications

  • Minimum 2 years of commercial facilities or property management experience
  • Good understanding of facility management processes
  • Proficiency in Microsoft Office Suite for documentation and reporting requirements
  • Good communication and customer service skills with ability to interact professionally with tenants, vendors, and internal stakeholders
  • Some knowledge of local safety regulations for workplace environments
  • Good organizational and multitasking abilities with proven track record of managing competing priorities in fast-paced operational settings

Location: Within Tokyo’s 23 wards

[Working Hours and Days Off]

  • Working hours are based on the client’s timetable
  • Generally based on working from the office
  • Days off: Two days off per week (Saturday and Sunday), public holidays, and the year-end and New Year period
  • 【Salary】
  • Overtime pay: Available. A fixed overtime allowance is included in the basic annual salary (equivalent to 30 hours per month) *For non-managerial positions
  • Bonuses: Available (performance-related bonuses)
