About The Role

This position is being recruited by Pakistan Single Window (PSW) on behalf of the National Agri-Trade and Food Safety Authority (NAFSA). NAFSA is being established as a strategic national initiative to strengthen Pakistan’s agri-trade ecosystem through enhanced regulatory oversight, facilitation, and modernization of food safety and trade processes. The selected candidate will be part of NAFSA’s foundational team, contributing to the development of systems, processes, and institutional capabilities.

Responsibilities

  • Maintain asset registers including tagging records, custody documentation, movement tracking, and verification records in coordination with Finance & Procurement.
  • Coordinate periodic physical asset verification exercises and document reconciliation findings for review by Deputy Director.
  • Support asset acquisition documentation, transfer processes, and disposal/condemnation records in line with approved SOPs.
  • Coordinate facilities management activities including maintenance requests, utilities tracking, vendor liaison, and workspace readiness across HQ and field offices.
  • Supervise routine office administration activities including support staff coordination, office supplies tracking, and general workplace service requests.
  • Maintain fleet records including vehicle allocation documentation, trip logs, fuel consumption tracking, maintenance schedules, insurance documentation, and accident reports.
  • Monitor fleet utilization and maintenance data and escalate anomalies or misuse concerns to the Deputy Director.
  • Coordinate travel and logistics support for official visits, inspections, trainings, and operational deployments ensuring proper approvals and documentation.
  • Support vendor performance monitoring and maintain service delivery records and compliance documentation.
  • Maintain structured documentation files to ensure audit readiness for asset, fleet, and administration functions.
  • Prepare periodic operational summaries on asset status, fleet utilization, and administrative service activities.
  • Perform any other duties assigned by the Deputy Director or Director HR & Administration consistent with NAFSA's mandate.

Requirements

Education

  • Bachelor's / Master's degree (minimum 16 years education) in Business Administration, Public Administration or a related discipline from a HEC-recognized university.

Experience

  • Minimum 4 years of relevant experience in asset management, facilities administration, logistics, or support services.
  • Demonstrated experience maintaining documentation, asset registers, fleet records, and vendor coordination.
  • Exposure to public-sector or governance-driven environments preferred
