About The Role

This position is being recruited by Pakistan Single Window (PSW) on behalf of the National Agri-Trade and Food Safety Authority (NAFSA). NAFSA is being established as a strategic national initiative to strengthen Pakistan’s agri-trade ecosystem through enhanced regulatory oversight, facilitation, and modernization of food safety and trade processes. The selected candidate will be part of NAFSA’s foundational team, contributing to the development of systems, processes, and institutional capabilities.

Responsibilities

  • Maintain employee personnel files (physical and digital) ensuring completeness, accuracy, version control, and confidentiality.
  • Update and maintain employee master data in HRIS including joining details, transfers, confirmations, leave records, and separations.
  • Support leave and attendance tracking and generate periodic attendance summaries as required.
  • Assist in administering performance management cycles including tracking goal-setting submissions, appraisal documentation, performance improvement plans (PIPs), and confirmation workflows.
  • Prepare routine HR operational reports including confirmation status, leave balances, attrition data, and performance cycle completion status.
  • Support disciplinary and grievance documentation processes ensuring proper record maintenance and confidentiality safeguards.
  • Draft routine HR correspondence including confirmation letters, contract extensions, service letters, and internal notifications.
  • Assist in payroll input coordination by providing verified HR data where required.
  • Maintain structured registers and trackers for confirmations, probation timelines, PIPs, disciplinary actions, and separations.
  • Support internal and external audit requirements by ensuring timely retrieval and organization of HR records.
  • Escalate documentation gaps, data inconsistencies, or process delays to the Assistant Director.
  • Perform any other duties assigned by any senior HR team member with due approval from Assistant Director (HR Operations & Performance Management)

Requirements

Education

  • Bachelor's degree (Minimum 16 years education) in HRM, Business/Public Administration, Management Sciences, or related discipline (HEC-recognized)

Experience

  • Minimum 2 years of relevant experience in HR operations, HR administration, or employee lifecycle support.
  • Experience with HRIS and structured documentation processes will be an advantage
