About The Role

Job Purpose

  • The Administration Expert is responsible for overseeing high-quality catering and accommodation services across all company rigs and land
  • residences, in addition to managing and auditing general administrative expenditures. This role ensures service excellence, cost efficiency,
  • compliance with organizational policies, and a comfortable living and working environment for employees and client representatives.

Responsibilities & Duties

Safety & Compliance Duties

  • Maintains the highest standards of corporate governance, ensuring that all activities are carried out ethically and in compliance with the company’s QHSSE policies, zero tolerance policy, Management System, relevant laws, regulations, standards, and industry practices and complies with the ADES WAY, rules to live by.
  • Places Safety as a true north, while never intentionally placing employees, our processes, customers, or the communities in which we live

and work at risk.

  • Will ensure that safety protocols are adhered to.

Responsibilities

Catering and Accommodation Oversight

  • Manages and oversees catering and accommodation services across all rigs and land residences.
  • Reviews monthly service provider invoices and ensure accuracy against service contracts.
  • Develops and manages budgets for catering and housing across field operations.
  • Collaborates with the Supply Chain Department during contract negotiations with service vendors.
  • Follows up on purchase and service orders for necessary equipment, repairs, or replacements.
  • Monitors and reviews the daily operational performance of service providers across all land residences.
  • Reviews monthly inventory logs and ensures consistency and availability of essential supplies.
  • Coordinates and oversees the execution of special catering events, ensuring adherence to schedule and quality.
  • Ensures all service personnel possess valid health and safety certifications.
  • Monitors and reviews rig visits conducted by Camp Boss teams; follows up on inspection reports addressing food safety, inventory

accuracy, and compliance with contractual service levels.

  • Acts as the focal point for all issues, concerns, and escalations between service providers and internal stakeholders.
  • Oversees cafeteria operations, including sales, waste management, hospitality supplies, invoice settlement, and monthly stock inventory.
  • Conducts monthly audits and inventory control of cafeteria and buffet consumables.

General Administrative Custody & Expense Management

  • Manages administrative expenses, including transportation, meal allowances, vehicle-related costs, etc.
  • Verifies that all expense submissions are compliant with internal policies and reflect actual incurred costs.
  • Reviews, processes, and tracks the reimbursement cycle for general administrative settlements.
  • Ensures timely settlement of monthly custody accounts to avoid delays.
  • Prepares and submits detailed quarterly reports on administrative expenses, identifying trends, variances, and budget expansion reasons.

Education & Experience

  • Bachelor’s degree in business administration, Hospitality Management, or a related field.
  • Minimum 7–10 years of experience in administration, logistics, or hospitality management within Oil & Gas or industrial settings.
