About The Role
POSITION SUMMARY: The Senior Office Support Assistant assists the Office Support Manager in daily departmental operations and acts as a back-up in their absence. This position also oversees the shipping department and assists other departments as needed. DUTIES AND RESPONSIBILITIES: · Provides back-up support for the Office Support Manager. · Assists with office support team development and training. · Assists with resume screening for SCC office support admin candidates. · Works directly with Office Support Manager, Facilities Department & HR on Security system, security cameras, and badge access for the building. · Assists with managing facility work orders, cleaning requests, and SCC Apartment cleanings. · Provides back-up to Office Support, Shipping, & Front Desk personnel as needed. · Assist Office Support Manager & Office Support team during Hurricane Season: maintain and order supplies, assist in storm preparation activities by organizing resources and creating contingency plans, and provide in-office coverage for department staff absences. · Assists with yearly Archive room shred project. · Organizes yearly AED/CPR trainings for administrative staff at SCC. · Assists with conference room setup for internal meetings & client meetings. · Works directly with the Office Support Manager & Office Support Assistants to plan all office events, creates flyers for events, and executes events day-of. · Creates materials requisitions & places office supply orders for Office Support. · Processes new-hire requests for supplies and badges. · Tracks items lost & found at SCC. · Assists with lunch distribution for employees and clients. · Processes company mail and business card requests. · Collects funds from vending machines. · Complies with all approved procedures, directives and guidelines. · Assists with any other office support projects that may arise. · Performs other duties as assigned. JOB SPECIFICATIONS: Education Required: An Associate’s Degree is required. A BA/BS Degree in Business Administration or related is preferred. Experience Required: Minimum of Two-years administrative experience required. Intermediate to Advanced Microsoft Office skills are required. Coordination of business travel or hospitality experience is a plus. Skills Required: • Excellent communication, interpersonal, and organizational skills. • Must possess excellent attention to detail. • Ability to work in a stressful, fast-paced environment. • The ability to handle multiple tasks at once, as well as prioritize those tasks and respond accordingly. • Intermediate MS Office knowledge required.
