About The Role

As our Vehicle Support Assistant , you’ll play a vital role in supporting the smooth day-to-day operation of our company fleet across cars and vans, From vehicle administration and licence compliance to reporting and supplier support, you'll play a key role in maintaining accurate records, ensuring regulatory compliance, and supporting the efficient operation of the company fleet.

What you'll be doing

  • Managing day-to-day administration across the company car and van around the UK
  • Maintaining compliance records, including driver licence checks, MOTs, servicing schedules, and vehicle documentation
  • Processing penalties, recharge notices, insurance claims, and negligent damage cases
  • Keeping Licence & Fuel card databases, systems, and vehicle records accurate and up to date
  • Producing regular reports, management information, and performance data
  • Administering supplier records, monitoring service delivery, and supporting cost control activities
  • Providing first-line support and guidance on Vehicle related queries from employees and managers
  • Maintaining vehicle allocation records and supporting the administration of vehicle movements
  • Processing vehicle related invoices, purchase orders, and associated documentation
  • Supporting audits, policy compliance, and continuous improvement initiatives within the fleet function

What we’re looking for

  • Experience in vehicle administration
  • Strong organisational skills and a high level of attention to detail
  • Good understanding of compliance and legal requirements within a fleet environment
  • Confident using Microsoft Office, especially Excel
  • Strong communication skills and the ability to build effective working relationships
  • A proactive approach with the ability to manage multiple priorities and deadlines
  • Good numeracy and literacy skills
