The jobWe’re looking for a highly organised and proactive Office Manager to support the smooth day-to-day operations of our Vilnius office, with additional responsibility for business travel coordination for Flo teams globally. This role reports into the Head of Office and Travel.
This is a hands-on operational role combining office administration, workplace coordination, and travel support. You’ll help ensure employees have a seamless experience both in the office and when travelling for business. The role requires someone who is detail-oriented, responsive, calm under pressure, and comfortable managing multiple priorities in a fast-paced, international environment.
You’ll work closely with our on-site Office Manager and internal teams — supporting office operations, coordinating travel arrangements, managing suppliers, and ensuring that day-to-day administrative needs are handled efficiently and professionally.
Please note that our Office team works onsite 5 days a week, with some flexibility when needed.
Your Experience
Must have
3+ years of experience in office management, workplace operations, travel coordination, or administrative operations
Experience coordinating international business travel
Strong organisational and time-management skills with the ability to manage multiple requests simultaneously
Experience working with external vendors and service providers
High attention to detail and ability to handle complex logistics
Excellent communication and stakeholder management skills
Comfortable working in a fast-paced, operational environment
Proficiency with Google Workspace, Slack, and spreadsheets
Nice to have
Experience in a tech or international company
Experience using corporate travel tools (e.g. TravelPerk, Navan, Concur)
Previous experience supporting office operations or workplace management
What you'll be doing
Office & Employee Experience (approx. 70%)
Support the dedicated Office Manager with day-to-day office operations and act as a backup when needed
Help coordinate vendors, suppliers, office logistics, and workplace needs
Coordinate selected social activities, employee gifts, anniversary initiatives, and internal gift shop operations
Support ad-hoc workplace and employee experience projects as needed
Travel Coordination (approx. 30%)
Manage end-to-end business travel bookings including flights, accommodation, visas, and ground transportation
Ensure travel arrangements comply with company policies and budgets
Act as the main point of contact for employees requiring travel support
Manage last-minute travel changes and resolve travel-related issues
Maintain relationships with travel vendors and agencies
Support planning and logistics for company events, offsites, and team gatherings
Salary starting from 2600 EUR based on experience
