Job Description

Functions as first point-of-contact for service requests for Computer Services, Engineering/Maintenance, Environmental Services, and Risk Management/Security. Logs and generates work requests to the appropriate department(s). Collects data and generates reports; coordinates meetings; records, transcribes, and distributes meeting minutes. Performs various reception and clerical/secretarial duties. Responsible for hospital switchboard, answering and routing incoming calls and requests. Monitors security cameras, verifies and allows access to hospital building and garage. Shriners Portland is looking for a full-time Administrative Assistant to join the team!

Key Responsibilities

  • Updates and coordinates calendar and assists the Director of General Services with day-to-day activities.
  • Prepares and distributes written correspondence, Board reports, monthly reports, meeting minutes, etc.
  • Assists with the coordination, review, and update of all General Services group job descriptions, competencies and performance evaluations.
  • Completes Safety/Risk Management Committee and Emergency Management Committee meeting minutes in an accurate and timely manner.
  • Maintains filing/record-keeping system, able to retrieve information quickly.
  • Maintains confidentiality of patients, families, and personnel
  • Maintains office supplies and submits non stock requisitions for approval.

Required Qualifications

  • 1 year Administrative Assistant/Clerical
  • Basic Life Support (BLS)

Preferred Qualifications

  • High School Diploma/GED
  • 2 years Computer knowledge
  • Knowledge of Microsoft Word, Excel, Access and Power Point


Compensation is determined based on years of relevant experience and departmental equity.
