The Opportunity: The Manager, Property Operations Support will oversee the administrative and support functions of the Property Operations Department, ensuring efficient coordination, communication, and workflow across all engineering and facilities operations. This role serves as the central point of contact for departmental administration and providing guidance to subordinate team members. The Manager will be responsible for streamlining processes, maintaining accurate records, and ensuring operational excellence consistent with the country club’s standards.

Duties and Functions

  • Provide administrative and organizational support to the Director of Property Operations.
  • Oversee daily office functions, including scheduling, correspondence, purchasing, and recordkeeping.
  • Act as a liaison between the Property Operations department and other departments to ensure effective communication.
  • Prepare reports, budgets, and forecasts as required by the Director.
  • Manage and oversee work order tracking systems, ensuring timely follow-up and completion.
  • Supervise, train, and guide subordinate administrative staff within the department.
  • Assist in the coordination of special projects, renovations, and capital improvement initiatives.
  • Ensure compliance with all club policies, safety standards, and regulatory requirements.
  • Monitor and maintain vendor relationships, including contract administration and invoice processing.
  • Maintain inventory of office and operational supplies, placing orders as needed.
  • Support departmental recruitment, onboarding, and employee records management.

Qualification Standards

Bachelor’s degree in business administration, facilities management, or related field preferred; equivalent experience may be considered.

Minimum of 3–5 years of experience in office management, property operations administration, or a related leadership role.

Strong knowledge of facilities operations processes, including work order systems and vendor management.

Excellent organizational and multitasking abilities with keen attention to detail.

Proficient in Microsoft Office Suite and other relevant software applications.

Strong communication and interpersonal skills; able to effectively interact with team members at all levels.

Demonstrated ability to lead, mentor, and develop subordinate team members.

Experience in a hospitality or country club environment strongly preferred.
