We are currently in search of an Executive Assistant to support members of our leadership team and help to manage an ongoing delightful experience for all NYC employees by providing operational support and helping maintain an inclusive and safe environment.

What you'll do - Executive Assistance

Own calendar management to ensure a productive workflow of the day's activities for leadership members

Extensive scheduling (via Google Calendar), monitoring, and prioritizing of the day-to-day incoming communications

Coordinate internal and external meetings, logistics, agendas, and communications

Handle all travel arrangements including flights, hotels, ground transportation, etc

Provide expense support (via Ramp)

What you'll do - General Office Support & HR Support

Greet and assist employees, candidates, and visitors to the NYC office

Serve as a point of contact for vendors (food/beverage, repairs) on daily office maintenance and events. Keep the office stocked with food, snacks, and pantry essentials

Help coordinate new-hire onboarding scheduling, first-day setup, and making sure new employees feel welcome from day one

Support planning and execution of team events and offsites.

Assist with day-to-day benefits administration and serve as a friendly first point of contact for employee questions

Help maintain office traditions and programs (happy hours, celebrations, milestones, recognition, etc.)

What you'll need

At least two years of experience as an Executive Assistant in a fast-paced environment, supporting a senior executive

Heavy calendar, travel, and meeting planning experience

Proven ability to successfully balance and prioritize multiple tasks and projects simultaneously

Ability to anticipate the needs of leadership members before and during each workday

Excellent judgment while handling highly confidential information

Excellent written and verbal communication skills

Strong emotional intelligence, self awareness and professional maturity

Excellent Mac skills

Experience with Google Calendar and Google Meet video conferencing

Experience organizing company events (preferred, not required)
