We're looking for a highly organized and proactive Executive Assistant to directly support our COO .
The Executive Assistant provides high-level operational and administrative support, acting as a central point of coordination between the COO and the wider organization. This role combines traditional executive assistance with hands-on execution support — turning leadership direction into tracked action, maintaining visibility across ongoing initiatives, and ensuring the COO's time and priorities are protected and well used.
Key Responsibilities
Calendar & Meeting Management
- Manage the COO's calendar — schedule and prioritize meetings, resolve conflicts, and ensure time is allocated according to business priorities.
- Keep meetings and decisions on track — make sure the right information is ready beforehand, decisions get documented, and every follow-up action is tracked until it's done.
Task & Execution Support
- Structure and assign work — translate leadership instructions into clear execution units (e.g., Jira tickets), each with an objective, an owner, a priority level, a due date, and a definition of done.
- Own the follow-up rhythm — maintain visibility over ongoing initiatives and know exactly when to check in based on elapsed time and risk of delay.
- Catch problems early — identify stalled tasks, unclear ownership, or teams that have gone quiet, and push things forward through follow-ups and, when needed, escalation.
Information Flow & Reporting
- Filter and refine incoming requests — review requests for clarity and completeness before they reach the COO, chase down missing context, and rewrite them into concise, actionable form.
- Watch the operational landscape — track Jira boards and internal communication channels for early signs of risk to deadlines, customers, revenue, partners, or compliance.
- Deliver daily execution briefings — summarize progress, flag risks and blockers, and highlight anything that needs a decision from the COO.
- Run recurring execution reviews — weekly and monthly, surfacing recurring bottlenecks and delays, and turning them into concrete process recommendations.
General Executive Support
- Handle travel arrangements, expense reports, and other administrative tasks on behalf of the COO.
- Manage internal and external communication on the COO's behalf, including correspondence, scheduling requests, and gatekeeping access to the COO's time as needed.
- Prior experience as an Executive Assistant or similar role, ideally supporting C-level leadership in a fast-paced or fintech/tech environment.
- Strong organizational and analytical skills, with a sharp sense for priorities and risk.
- Experience with project/task management tools (e.g., Jira)
- Excellent communication skills — able to independently engage with different teams and translate vague requests into clear, actionable items.
- Discretion, trustworthiness, and a high level of professionalism when handling confidential information.
- Comfortable working in a fast-paced environment with shifting priorities.
- English proficiency (written and spoken).
