The Benefits Specialist performs a variety of administrative tasks in support of the organization's employee benefits function. This entry-level role provides day-to-day support for benefits enrollment, recordkeeping, and employee inquiries.

ESSENTIAL DUTIES and RESPONSIBILITIES

Include the following. Other duties may be assigned.

  • Responds to routine correspondence and inquiries from employees, benefits carriers, and vendors
  • Answers basic employee questions regarding benefits offerings, eligibility requirements, and coverage details, escalating more complex inquiries as needed.
  • Supports open enrollment activities, including distributing materials, tracking submissions, and answering employee questions.
  • Demonstrated proficiency in ServiceNow or other ticket tracking/case management systems for logging, tracking, and resolving employee inquiries.
  • Verifies enrollment data for accuracy and reconciles discrepancies with benefits providers or internal payroll systems.
  • Refers complex issues, escalations, or plan interpretation questions to higher-level benefits staff or management.
  • Performs other clerical and administrative duties as assigned in support of the broader Total Rewards team.
  • Maintains confidentiality of employee benefits information in accordance with company policy and applicable regulations (e.g., HIPAA).

EDUCATION and EXPERIENCE

  • Typically requires a high school diploma or equivalent.
  • 1 – 2 years of relevant experience, preferably in benefits administration, human resources, or a related administrative support role.
  • Performs work under direct supervision.
  • Handles basic issues and problems independently; refers more complex issues to higher-level staff.
  • Possesses working knowledge of benefits administration subject matter, including general familiarity with common benefit types (medical, dental, vision, retirement plans)

CORE KNOWLEDGE and SKILLS

  • Basic understanding of common employee benefit types, including medical, dental, vision, life insurance, disability, and retirement/401(k) plans.
  • General knowledge of benefits enrollment processes, including new hire enrollment, open enrollment, and qualifying life events.
  • Familiarity with basic benefits terminology (e.g., premium, deductible, copay, coinsurance, beneficiary, COBRA).
  • Working knowledge of HRIS/benefits administration systems for data entry and recordkeeping.
  • Proficiency with Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Basic understanding of data privacy and confidentiality requirements related to employee health and personal information (e.g., HIPAA).
  • Strong organizational skills with the ability to manage multiple forms, records, and deadlines simultaneously.
  • Accurate data entry and recordkeeping skills with strong attention to detail.
  • Ability to follow established procedures and escalate exceptions appropriately.
  • Customer-service orientation with the ability to communicate benefits information clearly to non-specialist audiences.
  • Basic math and reconciliation skills for verifying premiums, deductions, and payment transfers.
  • Ability to learn and adapt to new benefits plans, vendor systems, and regulatory changes.

SUPERVISORY RESPONSIBILITIES

  • This position will not have any direct supervisory responsibilities.
  • Salary Range: $20.87 - $25.00 per hour, depending on experience and geographic location.
  • Please note that actual compensation offered may vary based on local pay requirements, and will meet or exceed state-specific minimum wage or salary thresholds.
