  • Work Location: 100% Remote – United States; Central Standard Time (CST) (Business Hours)
  • Salary Range: $75,000–$85,000/YR

Job Summary

The Project Controls & Operations Coordinator provides project, operational, service management, financial, procurement, and administrative support to the Security Design & Integration team.

Working closely with the Senior Project Manager, SDI technical team, vendors, Finance, Procurement, and internal stakeholders , this position serves as a central coordination point for project activities, service tickets, ZIP requests, purchase orders, financial tracking, reporting, and data management.

The role is designed to improve the operational efficiency of the SDI organization by managing administrative and coordination activities, allowing project management and technical resources to remain focused on project delivery, system integration, technical execution, and strategic priorities.

What You Can Expect

Project Coordination & Senior Project Manager Support

  • Review physical security design drawings in Bluebeam, identify discrepancies, and provide clear markups for timely vendor correction.
  • Provide day-to-day project coordination and administrative support to the Senior Project Manager.
  • Maintain project trackers, schedules, milestones, action items, deliverables, and status information.
  • Assist with project kickoff, implementation, commissioning, handover, and closeout activities.
  • Follow up with technicians, vendors, and stakeholders on outstanding deliverables and action items.
  • Support the preparation of project dashboards, status reports, meeting materials, and leadership updates.
  • Maintain RAID items and escalate risks, issues, dependencies, and overdue actions.
  • Coordinate meetings, document action items, and track commitments through completion.

Service Ticket Coordination

  • Coordinate SDI-related service requests and tickets.
  • Review incoming tickets and coordinate assignments with the appropriate SDI technician, integrator, or service provider.
  • Monitor ticket priority, status, aging, and completion.
  • Follow up with technicians and vendors regarding outstanding requests.
  • Ensure completed service activities are appropriately documented before closure.
  • Identify recurring, aging, or high-priority issues and escalate as appropriate.
  • Maintain service metrics and assist with recurring reporting.

Financial & Procurement Support

  • Create, submit, monitor, and follow up on ZIP requests/tickets .
  • Assist with creation, tracking, and reconciliation of purchase orders (POs) .
  • Track project commitments, invoices, PO balances, expenditures, and remaining funds.
  • Coordinate vendor quotes, proposals, invoices, and supporting documentation.
  • Review financial submissions for completeness and accuracy.
  • Work with Finance and Procurement to resolve invoice, PO, coding, and documentation discrepancies.
  • Maintain financial and procurement trackers.
  • Support project financial reconciliation and closeout.

Data Management & Reporting

  • Perform accurate and timely data entry across project, service, financial, and procurement systems.
  • Maintain project records, vendor information, service ticket information, and PO data.
  • Conduct routine data quality reviews.
  • Develop and maintain project, service, procurement, and financial trackers.
  • Assist with KPI and recurring operational reporting.
  • Maintain organized electronic project documentation.
  • Support audits, financial reviews, and management reporting requests.

Vendor & Stakeholder Coordination

  • Coordinate with security integrators, service providers, SDI technicians, Finance, Procurement, and internal stakeholders.
  • Track vendor quotes, deliverables, invoices, service requests, and outstanding documentation.
  • Follow up proactively on outstanding actions and escalate delays when appropriate.
  • Support effective communication across project management, technical resources, vendors, and business stakeholders.

Position Requirements

  • 18 years of age or older.
  • High School Diploma or GED required.
  • Above average computer / technology skills needed.
  • Excellent customer service and team leadership skills needed.
  • Must be able to work independently.
  • Must be able to remain calm and professional during stressful situations.
  • Must have great attention to detail.
  • Must have a professional demeanor.
  • All candidates must be willing to participate in the Company’s pre-employment screening process, including drug screen and background investigation.
  • 1-2 years of experience supporting physical security, security integration, data centers, construction, IT infrastructure, or another technical environment is preferred.
  • 2–5 years of experience in project coordination, operations, service coordination, procurement, financial administration, or related function.
  • Experience supporting project managers or technical teams preferred.
  • Familiarity with purchase orders, invoices, procurement workflows, and financial tracking.
  • Strong organizational, data-entry, and documentation skills.
  • Ability to manage multiple priorities and independently follow up on outstanding activities.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Excel, Word, PowerPoint, Outlook, Teams, and related productivity tools.
  • Experience with ServiceNow, ZIP, Monday.com , or comparable platforms preferred.

Remote Work Expectations

  • This is a 100% remote position aligned to Central Standard Time (CST) business hours, with no travel requirements .
  • The employee will coordinate activities across geographically dispersed project teams, technicians, vendors, Finance, Procurement, and other stakeholders through established virtual collaboration and business systems.
  • The position requires consistent availability during established Central Standard Time (CST) business hours and participation in virtual meetings, project reviews, and coordination activities.

Measure Of Success

  • Success will be measured through timely service-ticket coordination, accurate financial and project records, efficient processing of ZIP requests and purchase orders, reduction of administrative backlogs, effective vendor follow-up, accurate reporting, and the overall quality of operational support provided to the Senior Project Manager and SDI team.
