Job Summary

The Admin Receptionist serves as the first point of contact for the organization, providing a welcoming and professional front-desk experience. This role is responsible for greeting and assisting visitors, managing incoming calls, handling correspondence, and supporting various administrative tasks to ensure smooth day-to-day operations. The Receptionist maintains a positive company image by delivering excellent customer service, demonstrating strong communication skills, and ensuring an organized and efficient reception area.

Key Roles and Responsibilities

Financial & Billing Monitoring

  • Monitor office payables: Track, log, and monitor recurring bills, invoices, and utilities for all office locations to ensure timely payments.
  • Coordinate closely with the Finance/Accounting department to submit approved

invoices, billing statements, and receipts for processing.

  • Maintain a well-organized digital and physical filing system for all financial documents,contracts, and payment records.
  • Assist in reconciling monthly office expenses and flag any billing discrepancies to

management

Secretarial, Hospitality & Executive Support

  • Provide dedicated, day-to-day administrative and personal support to key managers and executives.
  • Manage high-level executive logistics, including booking flights, securing accommodations, and arranging ground transportation.
  • Coordinate executive dining requirements, such as placing food orders, managing

restaurant reservations, and overseeing in-office meal deliveries.

  • Maintain executive workspaces: Ensure the executive’s desk and meeting areas are
  • kept pristine by clearing away food, trash, and used dishware promptly after meals or
  • meetings.
  • Manage complex calendars, schedule appointments, handle sensitive email

correspondence, and draft corporate documents/reports with high confidentiality.

Front Desk, Safety & Security Management

  • Act as the primary point of contact for all incoming visitors, clients, and partners,

ensuring a warm, professional welcome.

  • Maintain office security: Strictly enforce office access controls by logging all guests,

issuing visitor/building passes, verifying identities, and coordinating closely with building security or management.

  • Monitor the reception area and office entry points to prevent unauthorized access and

report any security incidents or hazards immediately.

  • Manage the main multi-line telephone system; screen, filter, and direct incoming calls

appropriately.

Office Operations & Supplies Management

  • Monitor, procure, and maintain inventory for office supplies, pantry items, and

equipment.

  • Handle all incoming and outgoing mail, packages, and courier services.
  • Oversee meeting room schedules, ensuring conference rooms are clean, organized, and properly equipped before executive meetings.
  • Coordinate with housekeeping and external vendors to maintain overall office cleanliness and routine maintenance.
  • Support HR and Admin during new hire onboarding by preparing workstations and

welcome kits.

Qualifications

  • Graduate of Hospitality Management, Business Administration or any related field.
  • With experience in hospitality, hotel, customer service, or administrative support is an advantage
  • With a pleasing and professional personality.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook, etc.)
  • Customer service-oriented and able to interact confidently with clients and guests.
  • Can work independently and as part of a team.
  • Willing to learn and take initiative in a fast-paced environment.
  • Willing to perform other tasks as may be assigned.
  • Must own a personal laptop and have a basic troubleshooting/computer skills.
  • Willing to work on-site and follow assigned schedules.
