Job Summary

Coordinates and executes fleet operations activities including vehicle acquisition, assignment, licensing, registration, maintenance, fuel programs, compliance, billing, vendor coordination, and disposal of fleet assets. Works directly with branches, drivers, vendors, and internal business partners to administer fleet programs, resolve issues, maintain accurate records, and ensure fleet activities are completed accurately, timely, and in accordance with established policies and procedures. Supports fleet compliance, acquisitions, greenfields, reporting, customer service, and process improvement initiatives.

Major Tasks, Responsibilities and Key Accountabilities

  • Coordinates vehicle ordering, assignment, transfer, registration, licensing, maintenance, repair, and disposal activities.
  • Processes fleet requests, driver requests, customer inquiries, and ServiceNow requests.
  • Coordinates with vendors on maintenance, licensing, fuel, rental, billing, registration, and operational issues.
  • Supports administration of fleet programs including maintenance, repair, fuel, licensing, safety, compliance, subrogation, and vendor management.
  • Serves as a primary point of contact for drivers, branch personnel, internal business partners, and fleet vendors regarding vehicle-related requests and issues.
  • Reviews and processes fleet-related invoices, billing discrepancies, vendor reporting, and supporting documentation.
  • Maintains fleet records and ensures accuracy of vehicle, driver, licensing, fuel, compliance, billing, and asset data across fleet systems.
  • Supports regulatory compliance activities including driver qualification, licensing, registration, safety, fleet reporting, and other applicable regulatory requirements.
  • Supports acquisitions, greenfields, branch onboarding activities, vehicle transfers, and fleet-related projects.
  • Identifies, researches, and resolves fleet-related issues while providing responsive customer support to field operations.
  • Supports reporting, data review, operational audits, and process improvement initiatives.
  • Monitors fleet performance, maintenance costs, utilization trends, and operational data and escalates issues, trends, and concerns as appropriate.
  • Serves as a subject matter expert in assigned areas such as vehicle operations, licensing, registration, vendor management, fuel programs, billing, compliance, or driver monitoring.
  • May train, mentor, or provide guidance to other fleet personnel and support cross-functional operations.

Preferred Experience

  • Bachelor's degree in Business or related field preferred.
  • 2–5 years of fleet management experience or equivalent experience in an analytical, financial, or technical field.
  • Experience with vehicle lease financing structures preferred.
  • Strong proficiency in Microsoft Excel and Microsoft Office applications.
  • Ability to learn and navigate multiple business systems and technologies.
  • Strong customer service, communication, and responsiveness skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong analytical and problem-solving skills.
  • Process improvement mindset.
  • Self-starter with the ability to work independently and take ownership of assigned responsibilities.
