We are looking for a Scheduler & Estimator with a strong emphasis on construction scheduling, who will work closely with our client's Perth-based team to plan, sequence and track residential projects from working drawings through to completion. Estimating and procurement support round out the role, but day-to-day priority sits with building and maintaining accurate, workable construction schedules. This is not a general administration or virtual assistant role: it calls for genuine construction knowledge and the ability to progressively take on scheduling, estimating and procurement responsibilities.

Our client is a Perth-based residential building company specialising in custom homes, renovations, extensions and residential developments.

Key Duties

Construction Scheduling (priority focus)

  • Prepare construction schedules for new projects and keep them updated as projects progress.
  • Develop appropriate trade sequencing across the build program.
  • Coordinate procurement dates with construction requirements, so materials and trades line up with the schedule.
  • Identify long-lead items and flag potential scheduling conflicts or delays before they impact the program.
  • Monitor upcoming trade and supplier requirements, and support the Perth team with forward planning.
  • Progressively take ownership of the scheduling function with minimal supervision on routine tasks.

Estimating

  • Review architectural, structural and engineering drawings.
  • Review project specifications and consultant documentation.
  • Complete detailed quantity take-offs.
  • Prepare preliminary and detailed construction estimates.
  • Prepare and maintain Bills of Quantities.
  • Obtain, review and compare supplier and subcontractor quotations.
  • Identify exclusions, discrepancies and missing scope.
  • Maintain accurate material and labour pricing.
  • Assist with tender and contract pricing, and pricing for client variations.
  • Compare project costs against budgets and previous projects.
  • Identify potential cost risks before construction.

Procurement

  • Prepare clear scopes of work for trades and suppliers.
  • Issue requests for quotation and compare quotations on a like-for-like basis.
  • Prepare purchase orders and work orders, ensuring these reflect the latest drawings and specifications.
  • Assist with ordering materials and long-lead items.
  • Follow up suppliers and subcontractors where required.
  • Maintain procurement records and monitor committed costs against project budgets.

System / Project Administration

  • Set up and maintain project estimating information, cost codes and budgets.
  • Maintain supplier and subcontractor information and record project documentation accurately.
  • Follow the client's established estimating, procurement and document-control procedures.
  • Full training will be provided on the client's project management system; accuracy of information entered will be extremely important.

Requirements

Essential Requirements

  • Minimum 3 years of experience in residential scheduling in an Australian based company (required)
  • Minimum 3 years of experience in residential estimating in an Australian based company (preferred)
  • Strong ability to read architectural and structural drawings.
  • Experience completing detailed quantity take-offs and preparing Bills of Quantities.
  • Experience reviewing subcontractor and supplier quotations.
  • Experience preparing scopes of work and purchase orders.
  • Understanding of construction procurement and scheduling.
  • Strong Microsoft Excel skills.
  • Highly accurate, detail-oriented and methodical.
  • Able to work independently and proactively, without waiting for instructions.
  • Comfortable communicating with Australian suppliers and subcontractors.
  • Able to manage multiple projects and priorities.
  • Excellent written and spoken English.
