About this Role
The Events Administrator is responsible for providing administrative and logistical support for company events, employee engagement initiatives, training sessions, and promotional merchandise programs. Working closely with the Events Specialist and Human Resources team, this temporary position helps ensure events are organized, communications are coordinated, event materials are available, and company promotional merchandise orders and distributions are managed efficiently. The successful candidate will be highly organized, customer-focused, and capable of managing multiple priorities in a fast-paced environment.
Major Responsibilities
- Provide administrative and coordination support for company events, including employee engagement activities, training sessions, career fairs, and corporate events.
- Assist with event logistics, including venues, catering, accommodations, transportation, and event materials.
- Prepare and distribute event communications, invitations, and attendee information.
- Maintain event schedules, registrations, guest lists, and event records.
- Coordinate event supplies and provide support with event set-up and tear-down as required.
- Support vendor coordination and assist with tracking event expenses and invoices.
- Manage bookings for internal training and event spaces.
- Assist with administration of company promotional merchandise websites, orders, inventory, and distribution.
- Provide general administrative support to the Human Resources team.
- Perform other duties as assigned.
Statement of Qualifications
- Post-secondary education in business administration, hospitality, event management, or a related field is considered an asset.
- Previous experience in an administrative, customer service, hospitality, or event support role is considered an asset.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, Office 365).
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent attention to detail and accuracy.
- Strong communication and customer service skills.
- Ability to work collaboratively with employees, vendors, and stakeholders.
- Adaptive problem solving, with positive, solutions-focused mindset
Physical/Sensory Effort and Work Environment
- Working under multiple deadlines and competing priorities.
- Sitting or standing for extended periods of time.
- Occasional lifting and movement of event materials and promotional items (up to 20 lbs).
- Occasional evening or overtime work may be required to support events.
