About The Role
We are seeking an HR Intern to join our Human Resources team in Beirut. The core of this role is records management: clearing our existing paper archive, digitizing it, and bringing CARMA’s employee files up to a consistently accurate and complete standard, in both hard copy and digital form. We want to be direct about what the work involves. Filing, scanning, checking files against a document checklist, and correcting records will account for the large majority of your time.
There is occasional involvement in employee engagement activities and general HR administration, but these are a small part of the role, not the focus. The role will suit someone who is well organized, meticulous about detail, and able to work steadily through a large volume of documents without losing accuracy. You will work closely with the HR team, handle confidential employee information with discretion at all times, and gain a genuine understanding of how an HR function keeps its records in order.
This is a three-month internship based in our Beirut office, Monday to Thursday, from 10:00 AM to 4:00 PM, with the possibility of extension based on performance and business need. A transportation allowance is provided.
Roles and Responsibilities
Records and filing
- Organize, file, and maintain employee records in both hard copy and digital format, ensuring each document is filed in the correct location and named consistently.
- Digitize the existing paper archive by scanning, naming, and uploading records to the HR filing system, working through the backlog to an agreed schedule.
- Cross-check every personnel file against the HR document checklist, identify missing paperwork, and follow up until each file is complete.
- Apply the HR filing structure and naming convention consistently across all records, both newly received and archived.
- Update employee information in HR systems and trackers and reconcile it against the underlying documents so that the system and the file agree.
- Identify and resolve duplicates, misfiled documents, and superseded versions, escalating anything unclear rather than deciding independently.
- File incoming documentation promptly so that current records do not fall behind while the archive backlog is being cleared.
- Maintain the confidentiality and security of all employee information at all times, keeping physical files secured and accessing personnel data only as instructed.
Occasional support to the HR team
- Help prepare materials for employee engagement activities, such as internal events and announcements.
- Provide general administrative support, including onboarding and offboarding paperwork and preparing documents from approved templates.
Requirements
- Education: Currently enrolled in, or recently graduated from, a bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field.
- Experience: No prior professional experience is required. Previous administrative, filing, or office support experience, including university projects, volunteer work, or part-time roles, is an advantage.
- Attention to detail: Accuracy when working with records, including the ability to spot missing documents or inconsistent information. This is the core requirement for the role.
- Stamina for detail work: Comfortable with detail-heavy, repetitive work sustained over long periods without loss of accuracy.
- Confidentiality: Discretion and sound judgment when handling confidential and personal information, and the willingness to ask for guidance rather than assume.
- Technical skills: Competent with Microsoft Office, particularly Word and Excel, and comfortable using Outlook, scanners, and shared drive or document management systems.
- Languages: Fluent in English and Arabic.
- Mindset: Reliable, self-motivated, and genuinely interested in building a career in human resources.
