DESCRIPTION

As a Field Office Coordinator at Fisk Electric, you will provide and coordinate administrative support services for Houston Operations while maintaining the highest level of confidentiality. This role performs essential functions and responsibilities in accordance with Fisk’s values, policies, and procedures.

  • Provide accurate, timely, and efficient administrative and word-processing support, including the preparation of contracts, correspondence, transmittals, reports, and internal memoranda.
  • Handle confidential information with discretion and ensure access is limited to authorized personnel on a need-to-know basis.
  • Establish and maintain organized filing systems that support quick identification, retrieval, and distribution of documents to Operations files, job sites, and Accounting.
  • Collaborate with jobsite personnel and Corporate Payroll to verify employee attendance, hours worked, and weekly field time records.
  • Enter and maintain employee time records within the company’s mobile timekeeping application.
  • Coordinate with Superintendents to support field workforce assignments and jobsite staffing needs.
  • Manage field office supplies and services for assigned job sites, including ordering and replenishing materials through approved vendors.
  • Serve as a liaison between Operations leadership, internal departments, clients, subcontractors, and external contacts to coordinate activities, resolve issues, schedule meetings, and maintain positive working relationships.
  • Process routine administrative functions, including expense reports, supply requisitions, personnel documentation, and other authorized transactions.
  • Prepare special reports, analyses, presentations, and related documents that may require research, data interpretation, and independent decision-making.
  • Provide backup support for receptionist coverage, electrical inspection scheduling, union employee onboarding, Houston payroll review, missed time entries, and other administrative needs as directed.
  • Maintain and expand professional knowledge, skills, and competencies to support continuous improvement and operational efficiency.

REQUIREMENTS

  • High school diploma required.
  • Minimum of two years of secretarial, administrative, payroll, field office, or related support experience.
  • Working knowledge of business procedures, letter and report formats, arithmetic, and administrative documentation.
  • Proficiency with computer systems, word-processing, spreadsheet applications, and mobile timekeeping or project administration systems.
  • Ability to type accurately and manage detailed records, files, correspondence, payroll documentation, supply requests, and field communications.
  • Strong communication, organizational, follow-up, confidentiality, and customer-service skills.
  • Ability to coordinate effectively with Superintendents, Project Managers, Operations leadership, Accounting, Payroll, vendors, subcontractors, clients, and field personnel.
  • Construction industry experience preferred.
