Job Summary

The Events and Scheduling Coordinator is responsible for facilitating the day-to-day operations of the University’s Events and Conference Services, supporting the planning, scheduling, and execution of campus events. The role focuses on coordinating event logistics, communicating with internal and external clients, maintaining accurate scheduling and space data, and serving as a daily user and point of contact for the scheduling and space management system.

Major Duties and Responsibilities

Coordinate the day-to-day operations of the University’s Events and Conference department, including event logistics, vendor coordination, and client communications for internal and external events.

Serve as a system administrator for the scheduling and space management system ensuring accurate space data and efficient event scheduling.

Monitor and improve processes for event planning, customer service, and resource allocation to enhance client satisfaction and operational efficiency.

Collaborate with campus partners such as IT, Campus Safety, Physical Plant, and other university departments to arrange for maintenance details and coordination within all classrooms, conference rooms, communal areas, and event spaces.

Supervise event staff and student employees, including hiring, training, and performance management.

Assist in preparing and updating academic course assignments, while maintaining compliance with academic calendar deadlines and institutional policies, in collaboration with department chairs and program coordinators.

Generate basic reports on classroom usage and scheduling accuracy.

Perform other duties as necessary to support the needs of the Department and the University’s mission.

Working Conditions

Working conditions are normal for an office environment. Work may require occasional weekend and/or evening work.

Required Qualifications

  • Experience working in a customer service field and/or experience in events. Demonstrable examples of supervising a small staff.
  • Demonstrate a track record of cultural sensitivity in collaborative settings.

  • Bachelor’s degree
