Job Description
Join Job Duck as a Bilingual Intake Specialist and become an important first point of contact for prospective and existing clients of a growing law firm. In this role, you will connect with potential clients, understand their needs, provide helpful updates, and confidently guide qualified leads toward becoming clients. You will also support appointment scheduling, client communication, collections outreach, and accurate maintenance of legal records. The ideal candidate is a persuasive and professional communicator who is dependable, proactive, responsive, and comfortable working independently in a fast paced environment. In this role, you’ll be the voice that welcomes new clients, guides them through the intake process, and helps them feel supported from the very first call. You’ll manage a high volume of inbound leads, schedule appointments, and keep client records organized, all while working closely with a responsive, collaborative team. Monthly Compensation: $ 1,150 - 1,220 USD
Responsibilities include, but are not limited to
•Answer and return intake and follow-up calls from new and existing clients
•Handle inbound calls and provide updates or information on current cases
•Persuasively convert new leads into qualified clients
•Maintain accurate records in Clio and Clio Grow
•Coordinate closely with reception to ensure proper handoffs (15–30 calls/day)
•Make outbound calls at the client’s request
•Schedule appointments and follow-ups with precision
•Act as back-up for phone answering or intake coverage when needed
•Coordinate with team to ensure call coverage during absences or breaks
•Support existing clients with general, non-substantive inquiries
•Conduct collections outreach when applicable
•Perform intake-related administrative tasks, data entry, and legal document management
•Contribute to intake projects and tasks as business needs evolve

Requirements
- •Previous experience in client intake, customer service, or legal admin preferred
- •Excellent phone handling and interpersonal skills
- •Experience with Clio and Clio Grow is a strong plus
- vAccess to a personal laptop/PC, headset, and stable internet connection (min. 10 Mbps download / 5 Mbps upload)
- •Reliable presence during work hours and willingness to use a rapid-contact method (e.g., WhatsApp) for urgent communication

Requirements

- Previous experience in intake, legal support, customer service, sales, call center, or a related client facing role
- Strong verbal and written English communication skills
- Ability to confidently communicate with prospective clients and build trust
- Comfortable handling both inbound and outbound calls
- Ability to maintain accurate client records and confidential information
- Reliable computer and phone availability throughout scheduled working hours
- Strong and dependable internet connection and professional home office setup
- Ability to provide a rapid contact method for emergencies, such as WhatsApp or a personal phone number
- Availability to work Monday through Friday during the required schedule

Call Volume
- Approximately 5 to 10 inbound calls per day
- Approximately 10 to 12 outbound calls per day
- The role is primarily focused on outbound intake and follow up calls, with the receptionist handling the initial inbound calls
