Animals Asia is currently seeking to recruit a qualified candidate for the position of Administrative Assistant - Programmes with details as follows:

Key Responsibilities
The Administrative Assistant - Programmes provides essential administrative and coordination support across all programme areas in both Vietnam and China. This role involves maintaining programme strategic documentation, supporting programme database management, and strengthening programme systems to ensure efficient and effective programme delivery across both countries.
Responsibilities
Programme Documentation & Data Management
- Organise and maintain programme documentation, ensuring information is accurate, up to date and easily accessible.
- Manage and improve online education and public awareness databases.
- Support programme teams with information management and record keeping.
- Maintain and organise the Programme team's Google Drive filing system.
Programme & Stakeholder Coordination
- Support programme teams with timely and consistent updates and reporting.
- Provide administrative and coordination support to Programme Managers.
- Maintain up-to-date contact and communication records with education partners.
- Support cross-border coordination between Programme teams in Vietnam and China.
Planning & Internal Communications
- Help manage a central calendar of programme activities, campaigns and events.
- Work with Programme and Communications teams to make programme results and data available in clear, user-friendly formats.
Language & Administrative Support
- Provide English–Vietnamese translation support for meetings and written materials.
- Support finance-related administration, including payments, fund transfers and cost-code processes.
- Arrange travel and itineraries for the Global Programmes & Sentience Director and Programme teams.
- Contribute to improving administrative processes and programme systems.
- Provide other administrative and coordination support as required
Education
- A Bachelor’s degree in Business Administration, Management, International Development, Education or a related field is required.
Experiences and Skills
- 2–3 years’ experience in administration, coordination or programme support, with excellent organisational, time-management and attention-to-detail skills.
- Strong written and verbal English communication, stakeholder coordination and teamwork skills, with the ability to work independently and across different locations.
- Proficient in Google Workspace (Drive, Docs, Sheets, Calendar), spreadsheets, databases and digital filing systems.
- Experience in NGOs/non-profits, CRM/project management tools, and basic financial tasks such as budgeting and invoice processing is an advantage.
