About The Role

THE JOB / Account Manager

The Account Manager is a passionate and detail-orientated professional with a strong background planning and executing events and hospitality programs with a knack for creativity. With event and hospitality management at the forefront, this role also involves building and maintaining client servicing relationships, and planning and execution of high-quality experiences that leave a lasting impact.

The ideal candidate for this position is an event planner and producer who excels in building positive relationships with clients, colleagues, and third parties. They possess skill set in full end-to-end event & hospitality planning and production (including but not limited to talent management, decor, F&B, entertainment, transport, AV etc). They are skilled at managing project timelines, developing event proposals and budgets, and proactively providing solutions as challenges arise while troubleshooting effectively on event day to ensure seamless execution.

THE WORK YOU’LL DO

Account Management

  • Day-to-Day account management support
  • Maintain clear communication and alignment with clients on briefs, project status, timelines, budgets, and deliverables
  • Build strong relationships with clients, acting as a trusted day-to-day lead
  • Collaborate with internal teams and partner vendors to deliver integrated solutions
  • Creation and management of toolkits and marketing assets
  • Financial management of invoices, vendor payments, budget tracking documents, and reporting and reconciliation on overall project finances
  • Coordination with other global Octagon account teams to ensure efficiencies and best practices across regions
  • Support the wider account team on proactively identifying new business opportunities within the account

Event and Hospitality Planning & Execution

  • End-to-end planning, execution and delivery of events and hospitality programs from concept to completion, ensuring alignment with client objectives.
  • Event production, including venue selection, AV/technical setup, talent management, décor, F&B, entertainment, developing run-of-shows, and travel logistics.
  • Develop event/hospitality proposals and planning decks
  • Develop event timelines, ensuring every detail is accounted for and delivered on time.
  • Manage on-site event execution with the event team, including setup, live production, and troubleshooting to ensure seamless delivery.
  • Development of hospitality programs including guest itineraries, transport coordination, and bookings
  • Collaborate with internal teams and external vendors to coordinate logistics, production elements, and overall experience.
  • Research, procure, and contract relevant third-party suppliers
  • Development and delivery of pre and post-event reporting

Team Management

  • Guide junior team members and other internal teams in event planning and best practices
  • Continually build, grow and maintain our culture, demonstrating our All in Play attitude and values in all colleague, client and stakeholder interactions

Client & Stakeholder Relationship Development

  • Build rapport with clients and internal teams, ensuring clear communication with regular updates
  • Build and maintain strong relationships with suppliers, vendors, and third-party partners to ensure high-quality delivery.

Creative Development

  • Contribute innovative ideas and creative solutions to elevate events and hospitality programs.
  • Stay updated on industry trends and integrate new concepts and technology to enhance client experiences.

Budgeting and Financial Management

  • Create detailed event budgets, ensuring cost efficiency without compromising quality.
  • Track and reconcile budgets, providing post-event financial reporting

WHO WE’RE LOOKING FOR

Knowledge and Experience

  • Min 5-7+ years’ experience working in event planning and production, account management, or client servicing
  • Experience in motorsport races
  • Strong expertise in event planning, hospitality management, and live event production, including AV/technical elements and on-site logistics.
  • Excellent project management skills, with the ability to manage multiple accounts/projects simultaneously.
  • Problem-solving abilities and a proactive approach to addressing challenges in real-time.
  • Proficiency in budgeting, forecasting, and financial management.
  • Creativity and innovation in conceptualizing and delivering unique event experiences.
  • Interpersonal skills, with the ability to build and maintain strong relationships with clients and vendors.
  • Strong ability to work within a team, demonstrate initiative, and solve problems effectively and independently
  • Attention to detail and commitment to delivering excellence.
  • Familiarity with relevant industry tools and software is a plus.

Others

Willingness and flexibility to travel and work weekend/holidays as needed

Have a network of suppliers/vendors is a plus

Experience in show calling is a plus

Language proficiency – a second language is a plus, Chinese is a plus
