Penn Psychiatric Center is seeking an energetic, compassionate, and highly organized Office Administrator to join our growing outpatient behavioral health practice in Phoenixville, Pennsylvania .

The role begins with primary responsibility for front-office operations, patient experience, and administrative coordination. Primary Responsibilities
Patient Experience & Front Office
- Welcome patients, visitors, and providers with professionalism and compassion.
- Answer and manage a multi-line telephone system.
- Schedule appointments and coordinate provider calendars.
- Verify insurance eligibility and obtain prior authorizations.
- Collect patient co-payments and outstanding balances.
- Coordinate referrals and follow-up appointments.
- Maintain accurate patient records within the electronic medical record (eClinicalWorks experience preferred).
- Respond promptly and professionally to patient inquiries.
- Deliver a concierge-level patient experience through exceptional customer service.
Office Administration
- Coordinate daily office operations and workflow.
- Maintain an organized, efficient, and professional office environment.
- Support provider scheduling and administrative coordination.
- Monitor office supplies and maintain inventory.
- Assist with reports, spreadsheets, and administrative projects.
- Coordinate communication between providers, patients, and leadership.
- Identify workflow improvements and assist with implementing new processes.
- Support practice growth initiatives and special projects.

- Minimum of three years of customer service experience in a healthcare.

- Ability to learn new systems and adapt to changing priorities in a fast-paced healthcare environment.
- Preferred
- Experience in behavioral health, psychiatry, primary care, or another outpatient medical practice.
- Experience using eClinicalWorks (eCW) or another electronic health record (EHR) system.
- Experience with insurance verification, benefits investigation, and prior authorizations.
- Knowledge of medical terminology and healthcare office procedures.
- Previous experience training, mentoring, or supervising staff.
- Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or a related field.
- Demonstrated interest in professional growth and advancement into a healthcare leadership role.
