About The Role

ELYON is seeking a reliable, highly organized, and proactive Program Support Assistant to provide critical administrative and clerical support to scientific administrators, executives, and research units for a Federal Agency in Manhattan, KS. The successful candidate will provide dependable day-to-day administrative support that keeps office operations organized, responsive, and accurate, allowing scientific and administrative personnel to focus on the agency’s research mission

Key Responsibilities & Duties

  • Administrative & Office Support: Greet office visitors, answer and route incoming telephone calls, manage incoming/outgoing physical mail, and collate/distribute daily correspondence.
  • Calendar & Meeting Management: Schedule appointments, coordinate complex meeting logistics, manage executive calendars, and assist in event planning to prevent scheduling conflicts and missed deadlines.
  • Professional Written Communication: Draft, edit, and format professional emails, memos, letters, instructional documents, and reports with proper spelling, grammar, and professional tone.
  • Records & Document Management: Establish and maintain organized physical and electronic filing systems in accordance with federal documentation standards.
  • Financial & Bookkeeping Clerical Support: Perform general accounting, bookkeeping, billing support, and invoice preparation/management.
  • General Operations: Make independent daily decisions to prioritize and handle routine and advanced clerical tasks efficiently.

Required Qualifications & Skills

  • Software Proficiency: Proficiency in the Microsoft Office 365 suite (Word, Excel, Outlook, PowerPoint, Teams) and the quick-learning aptitude for specialized federal or enterprise computer software.
  • Mathematical & Financial Aptitude: Sufficient skill in basic mathematics, general accounting, bookkeeping, and billing principles.
  • Communication Skills: Strong verbal communication and collaboration skills when working alongside administrators, scientific staff, management, and agency leadership.
  • Organizational & Time Management Skills: Exceptional attention to detail, proactive task prioritization, and multi-tasking capabilities in a fast-paced setting.
  • Professional Writing: Demonstrated ability to compose polished, error-free documents, reports, and emails.
  • Decision-Making: Capability to exercise sound, independent judgment on daily administrative tasks.

Eligibility & Compliance Requirements

  • Must be a U.S. citizen and able to complete and maintain all agency-required background investigation, suitability, Public Trust, and identification credential requirements.
