About the role

We are seeking a highly organised and proactive Personal Assistant to join EBC Tech Limited on a full-time basis . Based in Admiralty, Central and Western District , you will provide comprehensive administrative and secretarial support to senior management. This is a pivotal role that ensures the smooth day-to-day operation of the executive office, enabling key stakeholders to focus on strategic priorities. Your contribution will be essential in maintaining the efficiency and professionalism of the organisation.

Key responsibilities

  • Managing and prioritising the executive's calendar, scheduling meetings, and coordinating diaries across multiple stakeholders
  • Organising and preparing for meetings, including preparing agendas, briefing documents, and follow-up actions
  • Handling correspondence, emails and telephone communications with professionalism and discretion
  • Preparing and formatting reports, presentations, and business documents using Microsoft Office and other relevant software
  • Arranging travel, accommodation and logistics for business trips and events
  • Managing confidential information with integrity and maintaining strict confidentiality
  • Maintaining filing systems, databases and records in an organised and accessible manner
  • Liaising with internal departments and external stakeholders to facilitate smooth communication
  • Providing ad hoc administrative support including expense claims processing and general office administration
  • 2 years relevant experience serving Senior Executives/family
  • Higher Diploma or above in Business Administration or related disciplines
  • Good command of spoken and written English and Chinese (Mandarin speaking is a MUST)
  • Proven experience as a Personal Assistant, Executive Assistant or in a similar secretarial role within a professional business environment
  • Excellent organisational skills with the ability to manage multiple priorities simultaneously and work to tight deadlines
  • Outstanding written and verbal communication skills with a professional demeanour
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and other relevant software
  • Strong discretion and the ability to handle confidential information with integrit
  • Flexibility and adaptability in a fast-paced business environment
  • Immediate availability preferred
