Role Title: Senior Occupancy Planner/ OP Lead

POSITION OVERVIEW

The Senior Occupancy Planner is a highly skilled professional who serves as a comprehensive resource for a client account based in Wilmington, North Carolina. This team plays a crucial role in developing occupancy strategy solutions, overseeing moves, adds, and changes, and driving project engagements. The successful candidate will have a strong combination of Workplace, Occupancy, and Move planning experience and the ability to manage workload for a regionally dispersed client. This position requires exceptional versatility and the ability to transform client relationships into long-term opportunities.

You will provide a “boots on the ground” perspective to the team, ensuring “white glove” quality service delivery and act as a “change agent”. This role has onsite flexibility at the client offices but ideally offers 3 days onsite and 2-remote.

WHAT THIS JOB INVOLVES

Strategic Workplace Planning & Portfolio Analysis

  • Participate in business unit engagements addressing the future of work, return to office, portfolio optimization, and occupancy planning as part of the client project scope
  • Develop scenario and occupancy plans leveraging deep understanding of the clients space supply and demand requirements

Occupancy Planning & Execution

  • Serve as single point of contact for space questions: manage and resolve space requests, provide test fits, blocking and stacking plans, and develop sequencing plans for major relocations
  • Develop stacking plans, allocation plans, adjacency diagrams, migration plans, and move sequencing for co-location projects at existing and new properties
  • Gather space requirements and scope based on customer needs, coordinating requirements across different business units
  • Use creative and analytical thinking to aggregate data from multiple sources and generate solution options for occupancy problems
  • Ensure all seat assignments comply with regulations for personnel adjacency and deliver timely resolution of non-compliant assignments

Relationship Management & Client Engagement

  • Foster critical relationships with Corporate Real Estate, Business Unit leadership, Corporate Finance, Project Management, Move Coordination, and Facility Management teams
  • Develop relationships with end-user customers to understand their business needs, promote workplace solutions, and facilitate resolution of planning issues
  • Interact with client stakeholders at all levels, including executive leadership (CEO, CFO, CHRO, COO)

People Management

  • Responsible for employee management including: onboarding, leading, developing, and mentoring team members, as well as HR-related activities such as PTO and leave requests.
  • Manage direct reports and provide oversight/influence over additional staff as needed for successful project execution.
  • Promotes a culture focused on clients, people and teamwork, accountability, continuous improvement and innovation.

Data Analytics & Reporting

  • Report on building data, organizational data, and occupancy metrics using advanced Microsoft Excel skills including pivot tables and V-lookups
  • Prepare and update project status reports on actual versus projected seat demand at building level
  • Interpret qualitative and quantitative research data and synthesize into meaningful and actionable results
  • Conduct utilization data analysis; gather, analyze, and interpret data to provide data-driven recommendations
  • Measure, monitor, and report cost savings and value-added contributions

THE CANDIDATE

Required Education

  • Bachelor's Degree in Management, Architecture, Design, Real Estate, Finance, Construction Management, or related field

Required Experience

  • 8+ years' related experience in workplace strategy, architecture, consulting, corporate real estate, facilities management, project management, construction management, design, human resources, or organizational development roles
  • Proven track record in both strategic workplace planning and tactical occupancy planning
  • Experience in building strong client relationships and anticipating needs
  • Workplace program implementation experience in corporate settings, working alongside cross-functional real estate, facilities, IT, HR, Finance teams

Technical Proficiency

  • Required: Proficient in AutoCAD, REVIT, BIM, or other drafting technologies for test fit option development
  • Required: Advanced proficiency in Microsoft Excel (pivot tables, V-lookups, cell calculations)
  • Required: Ability to consolidate data and floor plans into Microsoft PowerPoint for presentations
  • Preferred: Proficient in CAFM/IWMS database systems (FMS, Manhattan, Tririga, Archibus, or similar)
  • Literate in reading and interpreting floor plans

Knowledge & Abilities

  • Working knowledge of office design principles and trends such as mobile or collaborative workplace
  • Understands desk-sharing concepts and methodologies
  • Ability to seamlessly transition between strategic oversight and hands-on execution
  • Ability to work both independently and cooperatively in an agile environment, including virtual collaboration with remote colleagues
  • Ability to multi-task and successfully manage multiple projects and coordinate activities for various individuals/groups
  • Comfortable with frequent or rapid change; flexibility to adapt to shifting priorities

Highly organized with high level of performance in project budgeting and scheduling.

ANALYTICS: Expert-level data analytical skills and ability to articulate stories through data. Has a structured approach to problem solving with a natural inclination for planning strategy and tactics. Attentive to detail and accuracy—particularly numbers and spatial creativity.

CHARACTER: Shows character with high perseverance and resourcefulness required to keep driving and finding ways to get the required steps done. Demonstrated consistency in values, principles, and work ethic.

FLEXIBLE & ADAPTABLE: Able to work in ambiguous situations. Resilient and tenacious with a propensity to persevere. Energetic, creative, and willing to work hard in a fast-paced environment; enjoys variety and challenges of consulting work.

CLIENT SERVICE: Understanding of and commitment to client service. A desire to work within a diverse, collaborative, and driven professional environment.

ADDITIONAL REQUIREMENTS

  • Self-motivated, able to work independently within a team to build relationships and interact effectively with business partners
  • Ability to effectively manage time, organize, and prioritize deliverables and workload
  • This is a variable consultant position working on a project basis as assignments are received and accepted, however length may vary
