Job Summary

The Graduate Programs Coordinator provides the key functionality in processes related to graduate admissions, recruitment and marketing for the College of Science. The Graduate Coordinator is charged with the efficient, timely, and effective administration of application review and decisioning for graduate programs, overseeing aspects of student accounts, including the awarding of scholarships, providing frontline service to prospective and current students, coordinating recruitment and marketing activities, and collaborating across the Enrollment Management Division.

The Graduate Coordinator is to be well-versed in university, college, and department academic policies and procedures. The ideal candidate is detail-oriented, service-minded, and comfortable balancing administrative deadlines with in-person and virtual student engagement.

Key Accountabilities & Responsibilities

Admissions

  • Responsible for review of College of Science graduate applications and rendering admissions decisions in a timely manner, in accordance with university and college guidelines.
  • Collaborate with College of Science admissions teams and program directors to support sound, consistent admissions decisions.
  • Liaison between Enrollment Management and departments / programs regarding key deadlines, procedures, and needed actions.

Applicant & Student Support

  • Serve as a primary point of contact for prospective and admitted students, providing responsive, high-quality service by phone, email, and in person, responding to inquiries within 24-48 hours.
  • Partner with enrollment operations to ensure applications, documents, and student records are processed accurately and efficiently.
  • Support data/reporting needs in collaboration with technical teams.

Recruitment and Marketing

  • Coordinate and support campus visit experiences for prospective and admitted students, including tours and information sessions.
  • Represent the college at in-person and virtual recruitment events, speaking knowledgeably and confidently about graduate program offerings to prospective students.
  • Assist in planning college-wide admissions events, such as open houses.
  • Assist with student retention and yield initiatives that support graduate enrollment goals, including related marketing communications.

Operations

  • Serve as a liaison between the college and university enrollment team, supporting regular communication and reporting.
  • Monitor and report on key enrollment metrics and processes each semester.
  • Maintain up-to-date applicant communications in line with current university policies.
  • Support the management of student records, including account holds and required documentation.
  • Other duties within the general breadth and essence of job scope as assigned.

Minimum Qualifications

  • Strong organizational, case-management, and interpersonal communication skills required.
  • Ability to work with enterprise-level databases and proactively manage tasks across a variety of systems required.
  • Excellent communication skills (written and oral) and proficiency with Microsoft Office required.
  • Ability to work some nights and/or weekends required. Knowledge and skills normally acquired through completion of a Bachelor’s degree in higher education and/or related field required. Master’s Degree preferred.
  • Two years or more of experience working in a higher education (preferred), nonprofit, or related professional environment required.

Expected Hiring Range

$48,610.00 - $66,838.75

With the pay range(s) shown above, the starting salary will depend on several factors, which may include your education, experience, location, knowledge and expertise, and skills as well as a pay comparison to similarly-situated employees already in the role.
