We are currently seeking a meticulous, organized, and communicative Project Operations Administrator to join our team.
The Project Operations Administrator will provide day-to-day administrative and operational support to the Project Management and Field Operations teams.
A key responsibility of the role is maintaining daily communication with Greek and Filipino field crews, coordinating their operational needs, and supporting the timely resolution of issues that arise during project execution.
The successful candidate will coordinate requests related to vehicles, personal protective equipment, work clothing, tools, equipment, and other resources required by the field teams. The role also includes collecting, organizing, and archiving documents related to company vehicles, rented vehicles, cherry pickers, machinery, and other project assets.
Strong communication, coordination, organizational, and problem-solving skills are essential for this position.
Main Responsibilities
- Maintain daily communication with Greek and Filipino field crews.
- Receive, record, and follow up on operational requests from field teams.
- Coordinate requirements related to company vehicles, rented vehicles, cherry pickers, tools, equipment, work clothing, and personal protective equipment.
- Support the resolution of daily operational and administrative issues affecting field teams.
- Coordinate the delivery, replacement, return, and monitoring of work clothing, personal protective equipment, tools, and company equipment.
- Collect, review, organize, and archive documentation related to vehicles, cherry pickers, machinery, and other project assets.
- Maintain accurate records of vehicle registrations, insurance documents, inspection certificates, rental agreements, licences, and other required documentation.
- Coordinate vehicle and equipment maintenance, repairs, inspections, and breakdown-related matters.
- Manage records related to vehicle keys, fuel cards, toll devices, and vehicle documentation.
- Support the onboarding of new field workers by coordinating the required documents, equipment, clothing, vehicles, and operational arrangements.
- Communicate with suppliers, rental companies, service providers, and external partners.
- Monitor pending requests and ensure that agreed actions are completed within the required timelines.
- Maintain organized electronic and physical project records.
- Prepare and update reports, trackers, employee lists, vehicle lists, equipment records, and other administrative documents.
- Support travel, accommodation, transportation, and other logistical arrangements when required.
- Report operational issues, damages, accidents, equipment problems, or vehicle-related incidents to the relevant departments.
- Ensure that field teams have the necessary equipment, documentation, and resources before starting their assigned activities.
Job Requirements
- Bachelor’s degree in Business Administration, Project Management, Logistics, Engineering, or another relevant field is preferred.
- Previous experience in project administration, operations support, field coordination, logistics, or a similar position.
- Experience in telecommunications, construction, infrastructure, or field operations will be considered an advantage.
- Excellent communication and coordination skills.
- Strong organizational and problem-solving abilities.
- Ability to communicate effectively with multicultural teams.
- Proficiency in Greek and English, both written and spoken.
- Good knowledge of Microsoft Office, particularly Excel, Word, and Outlook.
- Ability to manage multiple requests, priorities, and deadlines.
- Attention to detail and ability to maintain accurate records.
- Proactive, responsible, and team-oriented approach.
- Possession of a valid European or Greek driving licence is preferred.
- Availability for occasional business trips or site visits, when required.
