About The Role

The purpose of this position is to lead a departmental communications strategy, serving as team lead for communications, marketing recruitment, and events. This person will coordinate all departmental external communications with the CEHHS Communications team and the University Alumni/Online Engagement team to ensure compliance with college and university communication guidelines and policies. Responsible for ensuring the department adheres to all branding guidelines. Responsible for creating content for department websites, social media, and in-person venues. Compile student and alumni information for the purposes of communications.

Responsible for CRC and timetable changes/updates in the department, and process and maintain travel for faculty and graduate students in DASH for the ESM and ACED programs. Also, the position is to provide administrative assistance to professors in the ESM and ACED program areas as it relates to the faculty, staff, and students within the areas of the Department of Educational Leadership and Policy Studies, to the College of Education, Health, and Human Sciences and other university faculty; and to people outside the university on the local, state and national levels under the supervision of the Business Manager. This person coordinates the student admissions process required in the implementation of getting students enrolled in the ESM and ACED programs at the university using the Slate System; registering students in the programs by using the BANNER System, Audit files for completeness, inputs new data into department and summarize information for faculty to make admission decisions, coordinate with students and others to resolve problems regarding admissions, financial aid, undergraduate/graduate paperwork, and graduation.

Team Lead for all marketing/communications for the department. Coordinate with College Communications team and the University Alumni /Online Engagement team to ensure compliance with college and university policies and procedures.

  • In conjunction with the Leadership Team, coordinate, collate, develop, edit, disseminate all informational materials for ELPS, including, but not limited to tracking projects, formatting, drafting, editing, and preparing content for publication - press releases, external and internal documentation, posting to websites and social media.
  • Responsible for department individual program websites which include other social media networks, Works with faculty/personnel to draft, edit, and upload web page content. Update and maintain web pages including faculty bios., department/program information, stories, etc. all within the guidelines established by the college and university for branding, accessibility, content in a timely manner.
  • Responsible for coordinating the creation, editing, printing of all print material such as flyers, brochures, posters, etc., to ensure compliance with university branding guidelines.
  • Coordinate photo/video arrangements/permissions for website, publications, promotional/recruitment needs.
  • Assists customers to ELPS social media platform for supplemental information
  • Monitor website in Google Analytics and provide semi-annual reports on web traffic to department head and/or business manager
  • Act as logo liaison for the department
  • Banner System: Registering students for courses, entering permission of instructor, adding and removing students from class, changing student to different sections, adjusting credit hours, and printing academic history for all ESM Programs (Ph.D. and Masters).
  • SLATE System: Monitoring admitted students; printing applications, making student files and collecting data reports, etc.

•Prepare and Annual Review Report which lists student's general information, professors on their committee, and progress in their degree program. After committee reviews status of students, send out annual review letters.

•Audit Admissions to Candidacy form for all students in the ESM and ACED Programs (PhD, and Masters)

•Coordinate with graduate students in acquisition and organization of Admission to Candidacy Form, Comprehensive Examination form, graduation form, change in program form and various doctoral forms; preparing announcements of dissertation defenses; reserve rooms for department meetings, comp exams and dissertation defenses.

•Assists in organization/coordination of departmental student orientation

•Maintaining and updating all student files, forms, and records for ESM and ACED program area.

•Responsible for maintaining, safeguarding, and storing documents, information, and files in accordance with policy.

  • Assist faculty and graduate students to enroll students in programs in the department and completing materials necessary for graduation.
  • Announce the dissertation defense of those students to college faculty and staff at least a week in advance, via email for any PhD and Distance Education programs to be added.
  • Serve as back-up for staff positions. when needed
  • Provide administrative and clerical services to include, but not limited to: course documents, compiling data for reports and planning purposes, processing orders for textbooks, desk copies
  • Other duties required

Required Qualifications

Education

  • High school diploma, and associate’s degree in communications, marketing, or related field; experience may be substituted for education.

Experience

  • 3-5 years administrative experience in an office environment. Marketing and social media experience

Knowledge, Skills, Abilities

  • Knowledge, skill and ability to use social media, and related marketing tools.
  • Excellent organizational and communication skills (both oral and written) have the ability to make independent decisions based on established policy and procedures must be a self-starter and work independently.
  • Must have excellent communication and customer service skills, typing skills, and time management skills.
  • Must be able to multitask and solve problems.
  • Skilled at Windows operating systems.
  • Highly proficient in Microsoft Office Suite (Word, Excel, Access Database, PowerPoint), SharePoint, Photoshop in Design, WordPress and Web browsers, and Acrobat Professional.

Education

  • Bachelor’s Degree

Experience

  • 2 or more years of experience in a university setting.

Knowledge, Skills, Abilities

  • Knowledge of Banner, IRIS ACCESS, Argos, Slate, and 25-LiveSystem.
