The Role

As a Practice Assistant, you will provide proactive, high-quality support to Partners and fee earners, acting as a trusted business support professional and key point of contact. You will take ownership of workflows from initiation through to completion, delivering exceptional organisational, administrative, and client service support while coordinating resources across the wider Legal Support function.

Working collaboratively with Team Assistants, Document Production, Business Development, and other Business Services teams, you will ensure work is completed efficiently, accurately and to the highest standard. You will play a vital role in helping legal teams operate effectively whilst contributing to a positive client experience and commercial success.

The Team

The Legal Support team is a collaborative and client-focused function that delivers high-quality support to lawyers across the firm. We work in partnership with our legal teams to provide efficient workflow management, administrative excellence, and exceptional client service.

As part of the team, you will build strong relationships with Partners, fee earners, clients, and Business Services colleagues, using your organisational skills, initiative, and commercial awareness to support a fast-paced and international legal environment.

Key Responsibilities

Client & Relationship Management

  • Develop and maintain strong working relationships with clients, Partners and fee earners.
  • Act as a professional and responsive point of contact for clients and key stakeholders.
  • Manage client communications and queries, ensuring a high standard of service at all times.
  • Coordinate the production, review and quality control of documents prepared by Document Production and other support teams.
  • Support business development initiatives, including tenders, pitches, client training, directory submissions and relationship-building activities.
  • Maintain accurate client and business development information within Interaction and other firm systems.
  • Ensure compliance with client-specific protocols and support the implementation and communication of best practice processes.

Administrative Support

  • Manage complex diaries, meetings, travel arrangements and related logistics.
  • Coordinate internal and external meetings, preparing agendas, papers, presentations and itineraries as required.
  • Support client matter management, including matter opening and closing, engagement letter preparation and record maintenance.
  • Monitor key deadlines, compliance requirements and client commitments.
  • Assist with the organisation of client events, conferences, seminars and internal meetings.
  • Produce high-quality spreadsheets, reports, presentations and correspondence.
  • Support the preparation and submission of tenders, pitches and marketing materials.
  • Manage team inboxes, client enquiries and website-generated requests where required.

Communication & Collaboration

  • Act as a key liaison between Partners, fee earners, clients and Business Services teams.
  • Manage correspondence, emails and communications, ensuring tasks are prioritised and progressed appropriately.
  • Draft communications and responses on behalf of fee earners where appropriate.
  • Provide support across the wider Legal Support team, contributing to collaborative working and service excellence.
  • Attend meetings, take minutes and follow up on action points to ensure timely completion.
  • Work closely with Legal Support Managers to ensure effective workload management and resource planning.

Workflow & Matter Management

  • Take ownership of tasks and workflows, ensuring deadlines and service standards are consistently achieved.
  • Maintain accurate client and matter information across firm systems.
  • Support the creation and maintenance of data rooms and document repositories.
  • Process online applications, searches and submissions where required.
  • Ensure all activities are completed in line with firm policies, procedures and regulatory requirements.
  • Identify opportunities to improve processes and ways of working to enhance service delivery and efficiency.

Skills & Experience

  • Previous experience within a legal, professional services, or corporate support environment.
  • Strong organisational and prioritisation skills with the ability to manage multiple competing demands.
  • Proven experience supporting senior stakeholders and managing high-volume workloads.
  • Excellent client service and relationship management skills.
  • Strong written and verbal communication skills.
  • High attention to detail and commitment to quality.
  • Ability to work independently while contributing effectively to a team environment.
  • Professional, discreet and able to handle confidential information appropriately.
  • Positive, proactive and adaptable approach to work.

Technical Skills

  • Experience using document management and case management systems.
  • Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
  • Strong document formatting and quality assurance capabilities.
  • Experience maintaining client and matter information within business systems.
  • Ability to learn and effectively utilise new technologies and systems.
