We are seeking a meticulous Facilities & Procurement Executive for a 100% desktop-based role. This position focuses on administrative management, vendor procurement, and technical documentation for Hard FM operations. The ideal candidate possesses a solid understanding of mechanical and electrical (M&E) systems, excels at paperwork, and can draft Purchase Orders (POs) and Bills of Quantities (BQs). About the role

  • Procurement & Financial Paperwork: Prepare accurate Bills of Quantities (BQs), cost estimations, and scopes of work (SOW) for routine maintenance and repair works.
  • PO & Invoice Management: Raise and track Purchase Orders (POs), cross-check vendor quotations against delivery documents, and process contractor invoices for approval.
  • Hard FM Technical Review: Review contractor service reports, technical proposals, method statements, and compliance documentation for M&E, HVAC, fire protection, and electrical systems.
  • Contract Administration: Support vendor contract processing, verify contract variations, and maintain updated vendor databases.
  • Documentation & Compliance: Maintain audit-ready facilities records, O&M manuals, warranties, statutory licenses, and monthly expenditure tracking reports.

About You

  • Degree in Facilities Management, Mechanical/Electrical Engineering, Quantity Surveying, or related discipline (Fresh Degree Graduates are welcome to apply), OR
  • Diploma in a relevant field with at least 3 years of experience in Hard FM administrative or procurement roles.
  • Technical & Admin Skills: Familiarity with M&E systems, basic ability to read technical specifications, and prepare precise Bills of Quantities (BQs) and PO paperwork.
  • Software: Proficiency in MS Excel, MS Word, and general ERP or procurement systems.
  • Key Attributes: High attention to detail, strong numerical accuracy, and clear written communication skills.
