We are looking for “ Area Admin and Facilities Manager” to oversee the administrative and facility management operations across multiple East Mediterranean (EME) offices while leading direct and indirect management of local admin teams. The incumbent will be expected to ensure smooth operation and maintenance of office spaces, provide strategic management for real estate, facility, and administration strategies while driving the successful implementation of “Return to Office” initiatives.

  • EME : Bulgaria, Egypt, Georgia, Israel, Lebanon, Romania, Ukraine, Türkiye.

This role requires 5 days office presence and is based in İstanbul office.

Key Responsibilities

  • Lead regional office and facility management activities, including leasing, renewals, relocations, expansions, space optimization, workplace planning, and real estate negotiations, while ensuring alignment with Global Real Estate standards.
  • Oversee facility operations across offices, warehouses, and depots, including maintenance, repairs, renovations, construction projects, vendor management, and timely resolution of operational issues.
  • Drive sustainability and workplace improvement initiatives, focusing on energy efficiency, waste management, process standardization, and employee satisfaction.
  • Manage facility and administration budgets, monitor expenditures, identify cost-saving opportunities, and provide financial reporting and insights to leadership.
  • Lead regional fleet management, including vehicle leasing, procurement, maintenance, disposal, pool car operations, transportation services, vendor negotiations, compliance, and fleet performance optimization.
  • Oversee business travel and mobility services, including flight and hotel arrangements, employee transfers, and personnel transportation operations.
  • Manage office services and administrative operations, including reception, mailroom, catering, document management, correspondence, and related service contracts.
  • Lead indirect procurement of office supplies, equipment, and services, ensuring cost effectiveness, policy compliance, and adherence to local regulations.
  • Partner with HSSE and IT teams to ensure safe, compliant, and fully functional workplace environments and technical infrastructure across all locations.
  • Plan and execute internal and external corporate events, meetings, conferences, and offsite activities.
  • Implement global facility management standards, ensure regional compliance, and drive continuous improvement and operational consistency across countries.

Qualifications

  • University degree with around 8-10 years of experience in Admin & Facility Management.
  • Previous leadership experience in a global/regional and multinational environment is essential, with proven capability in leading diverse direct and dotted-line teams across multiple countries.
  • Strong knowledge of real estate management, facility services, and administrative operations.
  • Previous management of multiple vendors and service contracts across different regions.
  • Strong analytical capability, with proficiency in budget management, cost control, financial reporting, data interpretation, and providing actionable insights to leadership.
  • Experience in fleet management and travel operations is a strong advantage.
  • Excellent negotiation, communication, and leadership skills.
  • Effective project management skills with a focus on process improvement and standardization.
  • Fluency in English and Turkish.
  • Proficiency at MS Office and facility management software and reporting tools.
