TikTok AI Content Admin – Job Requirements Document

Position: Overseas Virtual Assistant & AI Content Production Specialist

Location: Philippines (or similar timezone; afternoon/evening EST overlap required)

Employment Type: Independent Contractor / Hourly (with path to fixed monthly retainer)

Initial Hours: 20–30 hours/week

Time Zone: EST afternoon/evening overlap required (flexible scheduling permitted)

I. ROLE OVERVIEW

This is a hybrid operations & content production role supporting a new AI-generated TikTok content initiative. The hire will own the back-end creation and workflow management for AI-generated short-form video content, while also providing general virtual assistant support. This role is critical to scaling from 1 video/day to 5+ videos/day within the first 90 days.

Success in this role means: Delivering high-quality, on-brand video content at increasing velocity, establishing documented processes that can be delegated and scaled, and maintaining flawless deadline adherence while supporting the broader business operations.

II. PRIMARY RESPONSIBILITIES (80% of time allocation)

A. TikTok AI Content Production

  1. Creative Intake & Coordination
  • Monitor Notion/Google Doc and Slack for creative briefs and content direction from partners (Luke & Noah, via James/Roger)
  • Clarify requirements when needed; ask clarifying questions immediately to prevent rework
  • Organize incoming creative direction by product, format, hook style, and posting priority
  • Maintain a running log of all active projects and their status in ClickUp
  1. Prompt Engineering & AI Video Generation
  • Develop reusable AI prompts for Sora and/or NanoBanano based on creative direction
  • Test both AI tools (and others as needed) to determine quality, speed, and cost-effectiveness
  • Generate video clips using the selected AI tool(s); prioritize quality and brand alignment
  • Document what prompts work best, what doesn't, and iterate based on feedback
  • Manage paid accounts for Sora and NanoBanano; track usage and costs
  1. Video Editing & Assembly (CapCut)
  • Use CapCut to compile, edit, and stitch multiple AI-generated clips into final TikTok videos
  • Ensure videos meet platform specifications (format, duration, aspect ratio, etc.)
  • Match creative direction exactly (hook placement, pacing, visual flow, etc.)
  • Maintain consistent branding and visual style across all videos
  1. Quality Assurance & Revisions
  • Review finished videos against creative briefs and Luke/Noah's format guidelines
  • Self-QA before submitting to James/Roger for approval (minimize revision requests)
  • Incorporate feedback quickly and efficiently; turnaround on revisions 24 hours
  • Aim for 95%+ approval rate on first submissions
  1. File Management & Delivery
  • Organize and store all raw files, prompts, and finished videos in Dropbox/Google Drive with clear naming conventions
  • Deliver finished videos to partners (Luke & Noah) via agreed-upon storage system (Dropbox, Google Drive, etc.)
  • Maintain a master file index so content is easily retrievable and auditable
  • Ensure all deliverables are backup-protected and never lost
  1. Process Documentation & SOP Development
  • Document the evolving workflow as you execute (what works, what doesn't, timeline, tool costs, etc.)
  • Create Standard Operating Procedures (SOPs) for video creation so tasks can be delegated
  • By end of Month 1: Have a working SOP for the entire video creation workflow
  • By end of Month 2: Train a junior video editor/producer on the SOP (if workload scales as expected)
  • Continuously improve and refine SOPs based on feedback from James, Roger, Luke & Noah
  1. Performance Analysis & Iteration
  • Receive weekly performance feedback from Luke & Noah (engagement rates, watch time, audience response, etc.)
  • Translate feedback into actionable prompt and format adjustments
  • Test new variations and document what resonates with the audience
  • Help identify trends in what content performs best to inform future creative direction
  1. Tool & Platform Management
  • Maintain access to and proficiency with CapCut, Sora, NanoBanano, ClickUp, Slack, Notion/Google Docs, and Dropbox/Google Drive
  • Stay updated on new AI video generation tools; test and recommend improvements
  • Manage subscriptions, licenses, and paid accounts; notify James/Roger of costs and ROI
  • B. General Virtual Assistant Responsibilities (20% of time allocation)
  1. Calendar & Schedule Management
  • Manage James & Roger's calendars (scheduling meetings, coordinating across time zones)
  • Send meeting reminders and prepare meeting agendas
  • Coordinate with Luke, Noah, and other partners on scheduling
  1. Email & Communication Support
  • Monitor and organize email inboxes; flag urgent messages for immediate response
  • Draft routine emails on behalf of James & Roger (approvals, updates, follow-ups)
  • Manage email threads to keep conversations organized and on track
  • Respond to non-urgent inquiries with pre-approved templates
  1. Administrative Coordination
  • Maintain shared documents (Notion, Google Docs) for project tracking and team alignment
  • Create and distribute weekly status reports summarizing content output and metrics
  • Support any ad-hoc operational tasks (scheduling, data entry, file organization, etc.)

Outcome Success Metrics

  • Zero missed deadlines across all 90 days (automatic termination if deadline is missed)
  • Positive feedback from Luke & Noah on content quality and format adherence
  • Established, documented SOPs that enable delegated video production
  • Demonstrated ability to learn new tools quickly and iterate based on feedback
  • IV. REQUIRED SKILLS & EXPERIENCE

Must-Haves (Non-Negotiable)

  • Fluent English (written and spoken) — you will communicate daily with James, Roger, Luke, Noah, and collaborate across time zones
  • Marketing background — understanding of social media strategy, audience engagement, content formats, and what drives engagement on platforms like TikTok
  • Video editing experience — ideally with CapCut, but willingness to master it if you haven't used it before
  • Experience with AI tools — comfort using generative AI tools (text, image, or video); ability to learn new AI platforms quickly
  • Zero-tolerance deadline commitment — you understand that missed deadlines will result in immediate termination; timeliness is non-negotiable
  • Fast learner — comfort with ambiguity in the pilot phase; ability to figure things out quickly without hand-holding

Nice-to-Haves

  • Prior experience with Sora, NanoBanano, or similar AI video generation tools
  • Experience with ClickUp or similar project management platforms
  • Familiarity with TikTok's algorithm and content best practices
  • Experience managing multiple projects simultaneously
  • Prior VA or operations experience

  • VI. REPORTING & COMMUNICATION

Daily Communication

Slack standup: Post a brief end-of-day update in the project Slack channel by 6 PM EST (or end of your shift)

  • Videos completed that day
  • Revisions in progress
  • Blockers or questions for James/Roger
  • Estimated output for next day

Weekly Sync

  • Weekly meeting: 30-minute sync with James & Roger every Monday (or agreed day) at a time that works for afternoon/evening EST
  • Agenda: Review weekly metrics, discuss feedback from Luke/Noah, address any blockers, prioritize tasks for the coming week, report on SOP progress
  • Alternative: Detailed written weekly report if real-time meeting doesn't work (video walkthrough of metrics + status)

Ad-Hoc Communication

  • Questions / blockers: Use Slack for immediate questions; expect response within 2 hours during overlap window
  • Urgent issues: WhatsApp or direct call if something is blocking video delivery
  • VII. COMPENSATION & GROWTH PATH
  • Initial Phase (Months 1–3)
  • Compensation: Hourly rate (amount TBD based on candidate)
  • Target hours: 20–30 hours/week
  • Payment: Processed weekly or bi-weekly (to be confirmed)

Transition to Fixed Retainer (Month 3+)

  • If Month 1–3 targets are met and quality is consistent, compensation will convert to a fixed monthly retainer
  • Retainer amount will be based on: hours worked, quality metrics, and proven ability to scale
  • This provides you with salary stability and the employer with predictable costs

Leadership & Growth Track

  • Month 2–3: Begin mentoring and training junior video editors/producers
  • Month 3+: Potential to manage a small team (1–2 junior producers), with corresponding increase in compensation
  • Ongoing: As TikTok channel grows and business scales, your role scope and compensation will expand accordingly

Performance Bonus Opportunity (Future)

Once proven track record is established (Month 3+), potential for performance bonuses tied to

  • Quality metrics (approval rates, audience engagement)

  • VIII. TRAINING & ONBOARDING

  • Monday: Meet James & Roger; review this job requirements doc; get access to all tools
  • Tuesday–Wednesday: Hands-on tutorials for CapCut, Sora/NanoBanano, ClickUp, Slack, file storage

Thursday–Friday: Watch required training courses

  • Finalize and document the complete video creation workflow
  • Create templates for prompts, file naming, folder structure, etc.

Ongoing Learning

  • Weekly feedback sessions with James/Roger to refine technique
  • Monthly review of emerging AI tools and platform updates
  • Continuous iteration based on performance data from Luke & Noah
  • IX. NON-NEGOTIABLE EXPECTATIONS

Deadline Adherence (Critical)

Missed deadlines will result in immediate termination. This is a zero-tolerance expectation. If you cannot commit to delivering videos on the agreed-upon schedule, this role is not for you. We are building a business that depends on consistent, predictable content output. Reliability is everything.

  • Be online during the agreed afternoon/evening EST overlap window (flexible but consistent)

  • If you need to take time off, request it at least 1 week in advance

Quality & Attention to Detail

  • Videos must meet Luke & Noah's creative specs 95%+ of the time
  • Self-QA before submitting (minimize revision requests)
  • Follow file naming conventions and organizational systems precisely
  • Document your work clearly so others can follow your process

Continuous Improvement Mindset

  • Ask for feedback; implement it quickly
  • Experiment with new prompts and formats; test what resonates
  • Identify and propose process improvements (faster turnaround, better quality, lower costs)
  • Stay curious about TikTok trends and AI tool improvements

Ethical & Professional Conduct

  • Maintain confidentiality of all business strategy, partner relationships, and proprietary processes
  • Be professional in all written and verbal communication
  • Represent the company well in interactions with Luke, Noah, James, and Roger
  • Flag any concerns or blockers immediately; don't let problems fester

By the end of Month 3, you will have

  • Scaled to 5+ videos/day without compromising quality
  • Trained and mentored 1–2 junior producers
  • Transitioned to a fixed monthly retainer

  • Positioned yourself for growth and expanded responsibilities
