About The Role
Job Title: Financial Planning Virtual Assistant (Australian Practice)
Role Overview
We are a fast-growing Australian Financial Planning firm seeking a dedicated, detail-oriented Virtual Assistant based in the Philippines. You will be a vital part of our back-office team, ensuring that our advice implementation is seamless and our client data is impeccable. This role requires a deep understanding of the Australian financial landscape (Superannuation, Insurance, and Investments) and high proficiency in industry software.
Key Responsibilities
- Data & System Management: Maintain and audit client databases to ensure all information is factual and current. Take ownership of Xplan management and data integrity.
- Meeting Preparation: Collate and prepare necessary files, reports, and documentation ahead of client meetings.
- Strategy Support: Liaise with product providers to gather research and data required for the development of financial strategies.
- Advice Implementation: Prepare application forms and execute advice documents for Superannuation, Insurance, and Investment products.
- Process Improvement: Work collaboratively with the Australian team to identify "bottlenecks" and create efficiencies in our business workflows.
- SLA Compliance: Monitor and manage tasks to ensure all administrative requirements are completed accurately within our Service Level Agreements (SLAs).
- Team Collaboration: Act as a remote extension of the AU-based customer service team, providing administrative support as needed.
About You (Selection Criteria)
- Industry Experience: Proven experience as a Client Service Officer (CSO) or Admin Assistant within the Australian Financial Planning sector.
- Technical Knowledge: Solid understanding of Australian financial products (Super, SMSF, Life Insurance, and Managed Investments).
- Software Proficiency: Strong working knowledge of Xplan (highly regarded) or similar platforms like Midwinter or AdviserLogic.
- Communication Skills: Exceptional written and verbal English skills. You must be comfortable communicating with Australian providers and team members with a clear, neutral accent.
- Reliability: Able to commit to a full-time schedule (5 days a week) aligned with Australian Eastern Standard Time (AEST).
