About The Role

Senior Associate – Grant Accounting

KEY RESPONSIBILITIES

  • Award set-up & maintenance. Set up and maintain awards in the client's system — award terms, period of performance, budget lines, funder codes, restriction classification and billing basis.
  • Transaction processing. Process grant-coded transactions: allocations of payroll, fringe and shared costs; grant-specific AP/AR; journal entries; cost transfers with documented justification; and monthly reconciliation of grant receivables, deferred revenue and net asset balances.
  • Reporting & billing. Prepare funder financial reports and invoices across federal, state, local, foundation and corporate templates. Prepare drawdown and reimbursement requests through the applicable funder portals and reconcile them to the general ledger.
  • Compliance monitoring. Test costs against the allowable, allocable and reasonable standard, monitor budget versus actual by line, flag over-runs, expiring funds and unallowable costs, and track prior-approval and budget-modification triggers before they become findings.
  • Indirect cost recovery. Apply the client's negotiated or de minimis indirect cost rate, calculate the applicable cost base correctly, and reconcile recovered indirect costs each period.
  • Subrecipient support. Support subrecipient monitoring — invoice review, eligibility and exclusion checks, risk assessment documentation and the related transparency filings.
  • Audit & filing support. Prepare grant-related audit schedules and supporting documentation, respond to auditor queries, and support annual regulatory and information-return filings.
  • Cross-functional coordination. Act as the India-side point of contact for client programme managers, development and fundraising teams, HR-payroll and the US engagement team — chasing documentation, resolving coding queries, running status calls and escalating early.
  • Process & review. Maintain grant trackers, close checklists and desktop procedures; identify automation and standardisation opportunities; review the work of Associates and support their on-the-job training.

REQUIRED QUALIFICATIONS

  • CA / CPA / CMA / MBA (Finance) or B.Com with equivalent depth; 4–7 years in accounting, of which at least 2–3 years must be in a not-for-profit environment. Not-for-profit experience is essential; it may have been gained with Indian or US organisations.
  • Working command of of U.S. GAAP for Not-for-Profit entities (ASC 958), including donor-restricted and without-donor-restriction net assets, contribution and grant accounting (ASU 2018-08), contributed nonfinancial assets (ASU 2020-07), ASC 606 revenue recognition.
  • Experience with grant cost allocation methodologies and time-and-effort / payroll certification requirements.
  • Fund accounting proficiency in at least one platform — Sage Intacct, Blackbaud Financial Edge NXT, MIP Fund Accounting, NetSuite or Workday; advanced Excel (pivots, lookups, large-file reconciliation).
  • Clear written and spoken English, comfortable holding independent conversations with US-based client stakeholders.
  • Willingness to work the 2:00 PM – 11:00 PM IST shift on a sustained basis, with flexibility during month-end, funder deadlines and audit season.

PREFERRED

  • Experience supporting US-based clients or stakeholders from an offshore or shared-services location.
  • Familiarity with grants management tools and reporting/automation tools (Power BI, Alteryx, Power Query).
  • Exposure to grant proposal budgeting, award close-out and carryforward analysis.
