About The Role

Nova Data Testing, Inc. is seeking a highly organized and detail-oriented Administrative Assistant to provide direct administrative support to the company's leadership team and assist with a wide range of administrative functions and business initiatives.

This position plays a critical role in supporting the leadership team through effective coordination of administrative functions, communications, documentation, records management, and various project-related initiatives.

We are seeking a proactive, resourceful, and highly organized professional who thrives in a fast-paced environment and enjoys supporting company leadership. The ideal candidate is proficient in Microsoft 365 applications, embraces technology (AI and automation), takes ownership of their work, and can successfully manage multiple priorities while maintaining accuracy, professionalism, and a commitment to delivering high-quality results.

Key Responsibilities

  • Provide administrative support to the leadership team
  • Administer and maintain company platforms and online accounts, including travel, expense, user access, and account management.
  • Manage customer and procurement portals, including RFQ and purchase order tracking.
  • Coordinate employee onboarding, offboarding, training, compliance, and system access management.
  • Manage company asset records, accounts, and related administrative documentation.
  • Maintain vendor, contractor, and compliance records, agreements, and related documentation.
  • Maintain company records, files, and operational documentation.
  • Perform other administrative and operational support duties as assigned.
  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Experience supporting executives, leadership teams, or multiple departments.
  • Proficiency in Microsoft 365 applications, including Outlook, Excel, Word, Teams, SharePoint, and PowerPoint.
  • Experience with document management systems, electronic filing, and records management.
  • Strong organizational, time management, and prioritization skills, with the ability to manage multiple deadlines independently.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, accuracy, and professionalism.
  • Ability to handle confidential and sensitive information with discretion.
  • Professional demeanor with strong interpersonal and customer service skills.
  • Compensation: $45,000-$55,000/ year, depending on experience, qualifications, and skills
