Job Summary

This position is accountable to perform a variety of clerical, reception, registration, and support functions that will ensure timely and effective day-to-day operations and communications in the Radiology Department. This includes answering telephones, greeting patients, completing registration activities, entering Radiology orders, scheduling out-patient examinations, maintaining records, monitoring flow, and relaying accurate information. Additionally, the Associate supports the mission, vision, values, and strategic initiatives of Mary Washington Healthcare and demonstrates a commitment of quality service to our patients and their families, the community, the physicians, and our Associates.

Essential Functions & Responsibilities

  • Greets all patients, visitors, family members, physicians, and Associates in a courteous and professional manner.
  • Addresses customers’ needs efficiently, effectively, and confidentially.
  • Interviews patients and/or their representative in order to obtain registration information.
  • Copies appropriate papers and insurance cards.
  • Verifies that all information needed is complete and accurate, enters patient information into computer system to generate face sheet for the medical record, and processes co-pays as appropriate.
  • Answers telephones courteously, professionally, and by the third ring.
  • Screens and transfers telephone calls or takes messages as appropriate to facilitate effective Radiology communications.
  • Delivers messages in a timely manner.
  • Maintains an organized and efficient Radiology reception area.
  • Monitors patient schedules, work flow, and activities of all Radiology sub-sections to assure a smooth and coordinated traffic flow.
  • Assures that patients, family members, and Associates are kept informed of activities and delays.
  • Provides ongoing follow-up regarding patient delays for patients who have waited more than twenty (20) minutes past their scheduled exam times.
  • Creates an atmosphere that promotes customer service excellence.
  • Resolves or escalates customer complaints in a timely manner.
  • Employs Mary Washington Healthcare's customer service recovery program when customer service failures occur. Schedules out-patient examinations through Scheduling.Com or manually as needed.
  • Obtains all required information per the Mary Washington Healthcare scheduling guidelines.
  • Supports the insurance verification coordinator to ensure proper exam pre-authorizations. Enters Radiology orders accurately and efficiently into the RIS (Novius).
  • Has good knowledge of CPT and ICD-9 codes. During RIS downtime, enters orders through Invison and notifies the sub-sections to ensure their timely notification and completion of pending exams.
  • Performs routine but essential clerical and support functions under the direction of the Radiology Imaging Supervisor to ensure smooth and effective day-to-day operations of the department.
  • Consistently communicates patient/guarantor financial responsibility.
  • Performs closing procedures to include tallying daily charges and payments received reconciles credit card transactions and submits collected co-pays and outpatient fees to cashier on a daily basis.

  • Performs Front Desk/Scheduler duties on all patient age groups and maintains competency as evidenced by completion of a Competency Based Orientation Tool.
  • Adheres to departmental policies, procedures, standards, and protocols to ensure effective departmental operations and quality patient care.
  • Demonstrates a high degree of knowledge and understanding of Support Services/activities.
  • Maintains a safe environment for patients, personnel, and visitors by requiring and supporting the establishment, maintenance, and education of an effective safety management program.
  • Monitors and maintains an adequate inventory of office supplies and materials, as well as patient preparations, to ensure smooth operations in the reception work area and non-interruption of patient services.
  • Participates in Performance improvement activities for Reception utilizing the FOCUS PDCA (Plan, Do, Check, Act) approach to improvement.
  • Remains proficient in the use of NOVIUS, RMS, PACS, SCI, Invision, and other Radiology or Information Management systems as needed.
  • Identifies the appropriate patient via EAD or PIDX, performing thorough searches within the Invision system to minimize the creation of duplicate medical record numbers.
  • Maintains a rate of (Less Than 1%) duplicate medical record number creation.
  • Accurately and thoroughly completes registrations, maintaining accuracy rate in accordance with departmental quality goals.
  • Performs quality self-audits on registrations as patient flow permits.
  • Constructively receives and applies quality assurance feedback.

Qualifications

  • High school diploma or equivalent.
  • Ability to work with physicians, staff, and patients in a confidential and efficient manner.
  • Previous healthcare experience as a receptionist, unit secretary, or registrar preferred.
  • Basic computer skills Strong verbal communication skills and excellent customer service skill required.

Required

Physical Requirements: Constant (67-100% of workday) sitting and use of arms and hands; occasional (0-33% of workday) standing, walking, bending, squatting; ability to lift, push, and pull up to 10 lbs.; auditory and visual skills.

‎ Compensation Pay Range

$18.07 - $23.49
