Job Profile Summary

Job Summary

The Health and Wellness Coordinator provides administrative and operational support for the healthcare system's Associate Health and Workers' Compensation programs. This position serves as the primary point of contact for Associates requiring pre-employment health assessments, occupational injury management, immunization compliance, and wellness services. Responsibilities include scheduling appointments, maintaining confidential Associate health records, supporting workers' compensation activities, facilitating communication among Associates, leadership, medical providers, and third-party administrators, and ensuring compliance with regulatory requirements and organizational policies.

Essential Functions & Responsibilities

Pre-Employment and Onboarding Support

  • Schedule and coordinate pre-employment health assessments, physical examinations, drug screenings, respirator fit testing, and other pre-placement requirements.
  • Provide candidates with instructions and information regarding pre-employment testing requirements and timelines.
  • Monitor completion of pre-employment requirements and communicate results and clearances to Human Resources and hiring managers.
  • Maintain onboarding health documentation in Associate health record systems.
  • Track and follow up on outstanding pre-employment requirements.

Workers' Compensation Support

  • Provide back-up to workers' compensation appointments and follow-up care with occupational health providers.
  • Assist with generating reports related to workers' compensation claims, lost-time cases, and injury trends.

Associate Health Operations

  • Schedule Associate immunizations, tuberculosis testing, annual fit testing, and other Associate health services.
  • Monitor compliance with regulatory and organizational health requirements.
  • Maintain confidential Associate health records in accordance with HIPAA and organizational policies.
  • Track expiration dates for certifications and vaccination requirements.
  • Generate compliance reports for leaders and departments.

Customer Service and Communication

  • Respond to Associate, applicant, leadership, and provider inquiries regarding Associate health, workers' compensation, wellness programs, and occupational health services.
  • Communicate appointment reminders, testing requirements, and follow-up instructions.
  • Collaborate with Human Resources, Safety, Risk Management, Infection Prevention, and departmental leadership.

Compliance and Reporting

  • Ensure compliance with OSHA, CDC, Joint Commission, and organizational requirements as applicable.
  • Maintain accurate databases and electronic records.
  • Prepare monthly, quarterly, and annual reports related to Associate health compliance, workers' compensation activity, and wellness participation.
  • Assist with audits and regulatory surveys by providing requested documentation and reports.

Administrative Support

  • Maintain inventories of office, clinical, and testing supplies.
  • Process invoices, billing, and vendor documentation.
  • Prepare meeting materials, agendas, and minutes as needed.
  • Support department projects, program implementation, and continuous improvement initiatives.
  • Other duties as assigned.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum 2 years of administrative experience in healthcare, occupational health, Associate health, human resources, or workers' compensation.
  • Proficiency in Microsoft Office Suite and electronic medical record systems.
  • Strong organizational, customer service, and communication skills.
  • Ability to maintain confidentiality and handle sensitive information.

Preferred

  • Associate's degree in healthcare administration, business administration, or related field.
  • Experience supporting workers' compensation, occupational health, Associate health, or HR programs.
  • Knowledge of OSHA, FMLA, ADA, workers' compensation, and return-to-work processes.
  • Experience with Associate health databases and claims management systems.

Required

Physical Requirements: Constant (67-100% of workday) sitting and use of arms and hands; occasional (0-33% of workday) standing, walking, bending, squatting; ability to lift, push, and pull up to 10 lbs.; auditory and visual skills.
