Job Role: Remote Client Service & Corporate Services Coordinator

Compensation range: 1200AUD - 1500 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 10AM - 6 PM (AEST), Monday to Friday) for collaboration

Who The Client Is

We are a growing Accounting services firm supporting clients across accounting, tax, and business accounting and advisory sectors. With a reputation for excellence and client care, we are now seeking a dedicated Remote Administrative Assistant to support our team and clients with high-level administrative and secretarial tasks.

Role Overview

This role is ideal for someone who is highly organised, reliable, and proactive, with excellent attention to detail and the ability to work autonomously. The ideal candidate will have experience supporting professionals in Australian accounting firms or in comparable professional services environments, and familiarity with handling secretarial tasks, managing client communications, and using relevant tools and platforms.

Key Responsibilities

CLIENT SERVICE

Managing Inbound Communication

  • Sorting ATO and other inbound correspondences received
  • Coordinating responses from Manager
  • Emailing clients with relevant attachments and information
  • Assist Clients with providing documentations
  • Source for client information that is required by the bankers, or clients.
  • Drafting accountants letters
  • Coordinate monthly or quarterly client obligations
  • Coordinate ATO Lodgements including BAS, IAS QPINs to be sent out to clients post instructions from accountants
  • Other administrative tasks
  • Eg. Uploading documents for e-signature and filing them, closing bank receipts, sending completed Superfund financials to be audited.
  • Connect daily to review open items, prioritise and deliver

CORPORATE SERVICES

  • Manage formation of companies, trusts and SMSFs, and maintain related documentation.
  • Update ABR & ASIC with various changes eg. Shareholders, address, etc

Manage Annual ASIC Review Notices

Requirements

Required Skills and Qualifications

  • ● Strong attention to detail
  • ● A high level of maturity and discretion in handling sensitive information
  • ● Ability to multitask, prioritise and highly organised is very critical
  • ● Excellent verbal and written English communication skills
  • ● Self-motivated with the ability to work remotely and manage time effectively
  • ● Proficiency in Microsoft Office Suite, Google Workspace etc.

Preferred skills

  • Experience working in or with an Australian accounting firm is highly regarded but not mandatory.
  • Familiarity with Xero Practice Manager, Trello, or similar platforms is a plus. Experience or ability to use AI engines is beneficial
  • Familiarity/ experience with working on ATO / ASIC matters
