About The Role

Palliative care is specialized medical care for people living with serious illness, focused on relieving symptoms, reducing stress, and improving quality of life for patients and their families. Our Palliative Care team works alongside a patient’s existing medical team to provide an extra layer of support based on each patient’s individual needs, priorities, and goals.

We are seeking a Palliative Care Team Assistant to support our outpatient Palliative Care Clinic and Advance Care Planning program. This position is based at the CentraCare Marketplace Palliative Care Clinic in Waite Park and plays an important role in creating a welcoming, organized, and coordinated experience for our patients, families, and care team.

This role combines patient access, scheduling, provider template management, and administrative support. The Team Assistant serves as a key point of coordination for the outpatient clinic, helping ensure patients are scheduled appropriately, provider schedules are accurate, and day-to-day clinic operations run smoothly.

Key responsibilities include

  • Managing and maintaining provider schedules and Epic appointment templates.
  • Scheduling new Palliative Care consultations and follow-up appointments.
  • Coordinating additional appointments and services related to a patient’s care, including laboratory testing, imaging, and other services as needed.
  • Supporting patient check-in for clinic visits, including verifying demographic and insurance information and collecting applicable co-pays.
  • Supporting the Advance Care Planning Facilitator by scheduling new patient visits and follow-up appointments.
  • Assisting patients and families with scheduling questions and helping coordinate appointments across the healthcare system.
  • Providing general administrative and operational support to the outpatient Palliative Care team.
  • Communicating closely with providers, nurses, patients, families, and other departments to help ensure timely and coordinated care.

The ideal candidate is highly organized, detail-oriented, comfortable working in Epic and managing complex schedules, and able to communicate with patients and families in a warm and professional manner. Because our patients are often navigating serious illness and complex healthcare needs, compassion, flexibility, and strong interpersonal skills are especially important in this role.

Schedule

  • Full-time | 80 hours every two weeks | St. Cloud
  • Day shift | Monday - Friday | 7:30am-4pm

Pay and Benefits

  • Starting pay begins at $22.85 per hour; exact wage determined by years of related experience
  • Pay range: $22.85 - $34.25 per hour

Qualifications

  • High school diploma or GED required
  • Post high school secretarial training program including training in word processing and knowledge of the database function preferred
  • 3 years medical secretary or clinic support experience required
  • Previous scheduling and template building experience required
  • Working knowledge of personal computer and general office equipment
  • Background in Epic EMR, billing and coding
  • Understanding of medical terminology
  • Experience in a medical office or hospital setting
