About The Role

The Financial Services Operations Associate supports firm growth and client service by managing client engagement, operational workflows, and administrative processes. This role requires a strong understanding of firm policies and procedures, compliance requirements, and custodial processes.

DUTIES AND RESPONSIBILITIES

  • Build and maintain strong client relationships through proactive communication with clients, custodians, CPAs, attorneys, and internal team members.
  • Onboard new clients by collecting required information, completing firm and custodial paperwork, and updating client records in firm software.
  • Process client service requests, resolve NIGO items, and provide guidance to clients and team members as needed.
  • Schedule client meetings and prepare related reports and materials.
  • Regularly monitor and audit CRM records to ensure client data is accurate, current, and complete.
  • Answer incoming calls and direct messages to the appropriate team member.
  • Identify opportunities to improve processes, strengthen best practices, and enhance the client experience.
  • Other tasks as assigned.

QUALIFICATIONS

  • 5+ years of Registered Investment Advisor (RIA) or brokerage experience required.
  • Knowledge of investment terminology and industry language required.
  • Sophisticated technology skills required, including the ability to work independently in a remote environment, troubleshoot routine technical issues, and effectively use virtual communication, document management, CRM, and workflow platforms.
  • Bachelor’s degree in Business or a related field preferred.
  • Experience with custodian paperwork, Wealthbox, ShareFile, DocuSign, and Mailchimp preferred.
  • Strong computer skills, including proficiency with Microsoft Office products.
  • Excellent writing, interpersonal, and client service skills.
  • Detail-oriented with strong organizational skills and the ability to prioritize tasks effectively.
  • Collaborative team player with the ability to work well with others.
  • Ability to work in a fast-paced, evolving environment.
  • Goal-oriented, self-motivated, and results-driven.

SUPERVISION

  • This position does not have direct supervisory responsibilities.

LOCATION

  • Hybrid if local to the Bedford, NH office; fully remote otherwise.
